This gives you instant new lead alerts and automatically creates the leads in your client list so you can immediately contact them.

To view and manage your integrations, tap on the Account icon on the right side of the application footer, followed by Integrations.

Lead Alert Settings

By default, you will receive an in-app lead alert whenever a new lead comes through an integration. For more information on managing your New Lead Alerts and New Lead Reminders, please view the Notification Settings guide.

New leads received from integrations will be automatically added to your account and marked as ‘Uncontacted‘. For more information, please view our guide on managing settings for Uncontacted Leads.

WhatsApp Auto-Responder

You can set up a WhatsApp Auto-Responder to instantly message new leads on WhatsApp. Any new lead you receive via your integrations will be immediately and automatically messaged from your own WhatsApp number, even when you’re busy or offline.

All messages are sent from your existing WhatsApp Business number, so you can view and continue all conversations directly in the WhatsApp Business app on your phone or laptop.

You can automatically share leads from Facebook, TikTok, website contact forms, and other lead sources with other recipients via their email and Privyr account. This is useful if you’d like to distribute leads to your clients or colleagues, and can be configured to forward all leads from a page to all recipients, or distribute leads equally in a Round Robin fashion.

Recipients will receive new lead details instantly via email, with attribution ‘This lead was sent to you by @name at @company‘ (where @name and @company are replaced with the Name and Company from your User Profile, respectively).

Setting Up Automatic Lead Distribution

You can set up Lead Distribution via the following steps, either on the Privyr desktop web version or mobile app:

1. On the Privyr desktop site, go to your Automations tab and click on Lead Automations > Lead Distribution > Set Up Lead Distribution
   • On the Privyr mobile app, go to your Account tab > Integrations > Lead Distribution
   • Here’s a direct link that works on both web and mobile app: Manage Automations in Privyr
2. Click on + Add New Rule.
3. Set up the Rule Criteria by selecting the source of leads that you wish to distribute.
   • If you want to forward or distribute all leads you receive (instead of only those from a specific source or criteria), you can select ‘All Leads‘
   • If you do not see your lead source as an option here, please send yourself a test lead from that lead source first before trying again.
4. Under Distribution Settings, add the email addresses of the recipient(s) you wish to send leads to. To delete a recipient, tap on ‘⋮’ then remove them.
   1. MANAGE DISTRIBUTION CHANNELS
      Tap the recipient row to manage their distribution channels. By default, leads will be distributed via Privyr. If you are subscribed to Privyr Pro, you can also enable distribution via external platforms at an additional cost per lead distributed. For more details, jump to Distribution Channels.
   2. ADVANCED SETTINGS
      You can change the distribution method via Advanced Settings. The default option is Broadcast Mode, which sends every matching lead to all recipients. You can change this to Round Robin Distribution, which allows you to distribute 1-5 leads per round to each recipient. For more details, jump to Advanced Sharing Settings.
5. By default, all distributed leads will still be saved to your Privyr account. However, you can change this by toggling under My Account Settings.
6. Click Create Rule once you’re done.

You can create multiple lead distribution rules for each lead source, recipient list, and/or other criteria you have.

Advanced Criteria and Logic Using Custom Fields

You can also create Lead Distribution Rules by using Custom Fields combined with logic operators such as Equals, Does Not Equal, Contains, Starts With, and Ends With.

The Lead Distribution Rule would depend on the value of the Custom Field submitted by your lead and how it matches the logic and criteria you’ve set.

Here’s the list of logic options:

• Equals – the rule applies if the Custom Field value is exactly the same value as the criteria you set
• Does Not Equal – the rule applies if the Custom Field value is not exactly the same value as the criteria you set
• Contains –  the rule applies if the Custom Field value contains or includes the same value as the criteria you set
• Starts With –  the rule applies if the Custom Field value starts or begins with the same value as the criteria you set
• Ends With – the rule applies if the Custom Field value ends with the same value as the criteria you set

Note that all logic operators are Case Sensitive.

Tip: You can click on ‘You can select an existing lead to populate this rule’ to easily select a Custom Field Key based on an existing lead in your Client List.

Distribution Channels

All recipients will receive leads via the Privyr App by default. Users who are subscribed to Privyr Pro also have the option to send lead alerts via 2 external channels, Email and WhatsApp (charged per alert).

PRIVYR APP

If the recipient is an existing Privyr user, leads will be added directly to their Privyr account and they will receive an in-app alert. If the recipient does not have a Privyr account, they can sign up and all leads will be automatically populated in their new account upon creation.

EMAIL

Send an email to the recipient with the lead’s information. This is only available to users who are subscribed to Privyr Pro, and charges will be applied per alert.

WHATSAPP

Send a WhatsApp message to the recipient with the lead’s information. This is only available to users who are subscribed to Privyr Pro, and charges will be applied per alert.

Advanced Sharing Settings

BROADCAST MODE

When sharing leads in Broadcast Mode, all leads matching the rule will be forwarded to all recipients. This is useful if you want to forward a copy of every lead to multiple people.

Broadcast Mode is the default mode for all rules. However, if you prefer to distribute leads amongst people in a round-robin fashion, you can click on ADVANCED SETTINGS and toggle the ‘Round Robin Distribution‘ option.

ROUND ROBIN MODE

When sharing leads via Round Robin Distribution, leads matching the rule will be distributed across recipients in a round-robin fashion. This is useful if you want each lead to only be sent to one recipient, to avoid multiple people contacting the same lead.

To change your rule from Broadcast Mode to Round Robin, click on ADVANCED SETTINGS and toggle the ‘Round Robin Distribution‘ option.

You can configure the LEADS/ROUND column to change how many leads each recipient should receive per round (up to 10 leads per round). You can also edit a recipient’s order in receiving a lead by tapping on ‘…’ on the right of their email address to move them up or down the list.

However, if you prefer to forward all leads matching the rule to all recipients, you can switch back to Broadcast Mode.

Multiple Lead Distribution Rules

You can create multiple lead distribution rules for each lead source, recipient list, and/or other criteria you have.

All rules will run independently, so you can have multiple rules that match and run for a given lead. If a lead matches multiple rules, every matching rule will be applied.

Leads that don’t match any rule will be saved into your Privyr account and won’t be shared with anyone else.

On the main Lead Distribution Rules page, you can click on the ‘…’ on the right of each rule to view the rule details, edit the rule, move up, move down, or delete rule.

Lead Distribution History

On the main Lead Distribution Rules page, click on ‘View Leads History‘ to view the full history of every lead you’ve sent to other recipients, across all rules. This can be done on both the mobile app and web version of Privyr.

You’ll see each lead you’ve forwarded alongside the date and time, source, lead details, and the recipient whom the lead was sent to. If a lead was sent to multiple recipients, it will appear multiple times – once per recipient.

Only leads that were distributed to other recipients will be shown. Leads that weren’t shared with others will not appear on this list.

Click on a lead to view the full details of the lead.

All messages are sent from your existing WhatsApp Business number, so you can view and continue all conversations directly in the WhatsApp Business app on your phone or laptop.

Auto-Responder is a part of comprehensive WhatsApp Automation toolkit you can access with Privyr.

Connecting your WhatsApp Business Number to Privyr

To use the WhatsApp Auto-Responder, connect your WhatsApp Business number to Privyr using your Facebook account. The setup process takes around 5-10 minutes.

You need a Privyr subscription, a Facebook account, and a phone number logged into the WhatsApp Business App to set up and use the WhatsApp auto-responder.

Steps to Connect:

1. On the Web version of Privyr, go to the WhatsApp Auto-Responder setup page under your Automations tab > WhatsApp > WhatsApp Auto-Responder
2. Click Set Up Autoresponder
3. Select WhatsApp Business App
   • If you’re using the regular WhatsApp App, you’ll need to convert your phone number to a WhatsApp Business number by downloading the WhatsApp Business app on your phone and logging in with your existing number.
   • If you’re using WhatsApp Business API, that number will not be compatible with Privyr. Please use a number that is logged into WhatsApp Business mobile app instead.
4. Click Login with Facebook and sign in with a Facebook profile that has access to Meta Business Manager (if you have an existing Business Manager account)
5. When prompted to Connect your account to Privyr Pte Ltd., click Get Started
6. At the Fill in your business information prompt, select or create a Business Portfolio, then click Next
7. When prompted to Select your setup, choose Connect your existing WhatsApp Business app, then click Next
   • Note: The auto-responder only works with existing WhatsApp Business phone numbers. New numbers are not supported.
8. When prompted to Enter your WhatsApp Business phone number, fill in your number then click Next. Verify the number if required.
   • Note: Use a phone number that is logged into the WhatsApp Business app on your phone. If you’re using regular WhatsApp, you can just download the WhatsApp Business app and log in using your existing number.
   • Do not select “Start with a WhatsApp API account” as it is incompatible with Privyr.
9. When prompted to Share your contacts and chats, open the WhatsApp Business Application on your phone. You will receive a WhatsApp message from Facebook Business, prompting you to Scan QR code. Scan the code to grant Privyr permission to send WhatsApp messages via your account.
10. At the Confirm or edit your WhatsApp Business account prompt, click Next
11. At the Review Privyr’s access request prompt, click Continue
12. Once complete, you will see that You’re now ready to chat with people on WhatsApp. Click Finish to return to Privyr.

Once you’ve completed the steps, you will see your Auto-Responder Setup Screen. After setting up your connection, please continue with Setting up your Auto-responder.

Setting Up WhatsApp Auto-Responder or Automated WhatsApp Sequence

To configure your auto-responder or Automated WhatsApp Sequence, your WhatsApp Business phone number must be connected to Privyr. If you have not set up the connection yet, please follow the guide on Connecting your WhatsApp Business number to Privyr.

Once you’ve connected your WhatsApp Business number, you can set up your Automated WhatsApp Sequence to start messaging new leads:

1. On the Web version of Privyr, go to the WhatsApp Auto-Responder setup page under your Automations tab > WhatsApp > WhatsApp Auto-Responder
2. Click + CREATE DEFAULT SEQUENCE
3. Select the WhatsApp Business Number you’d like to use to send the automated WhatsApp message
4. Enter the Sequence Title and enter a Description about the main goal or use case of your sequence
5. Click CREATE SEQUENCE
6. Once the Automated WhatsApp Sequence is created, you can add a step to your Sequence by clicking on + ADD STEP
7. Select Automatic WhatsApp Message
8. Click + CREATE NEW TEMPLATE
9. Customise the message you want to send to all new leads received via your integrations
   • You can use @clientName in this message, which will automatically personalise the message with your lead’s name
10. Click on SUBMIT FOR APPROVAL
    • The message template will be submitted to WhatsApp for approval, which usually takes a few minutes up to 24 hours.
11. Click ADD AS STEP
12. You can add further steps where necessary, such as:
    • Time Delay: Specify the number of hours or days to wait before the next step starts, and receive an alert when the time comes. This is useful for spacing out communications or giving clients time to respond.
    • Automatic WhatsApp Message: Add another automated WhatsApp message that you’d like to send to the lead
    • Once the steps have been created, you can tap on the “⋮” icon at each step to reorder the steps, edit them, or delete them.
13. Click on Activate Sequence 
14. Review how many automation credits will be used for each client added to the Automated WhatsApp Sequence, then click Activate Sequence
    • Credits will only be used for WhatsApp messages that are successfully sent.
15. Set the Automated WhatsApp Sequence as the default sequence to automatically send the automated WhatsApp messages to new leads by clicking on Options, and then Set as default sequence
16. That’s it! The “Default for New Leads” label will then be shown on the selected Automated WhatsApp Sequence on both the Sequences page and WhatsApp Auto-Responder page.

This Automated WhatsApp Sequence will be used to automatically send WhatsApp messages to all new leads received via your integrations once the message template gets approved by Meta. You can submit a test lead on your connected lead source(s) to ensure it is working as intended.

Note that each successful autoresponder message uses 1 automation credit, which is charged based on your subscription plan. You won’t get charged for messages that you manually send and receive on the WhatsApp Business app.

Auto-Remove Clients from the Automated WhatsApp Sequence

You can configure your Automated WhatsApp Sequence to automatically remove clients once a conversation has started, ensuring they don’t continue receiving automated messages unnecessarily. This helps prevent duplicate communication and keeps your interactions more personal and relevant.

In Privyr, clients can be automatically removed from an Automated WhatsApp Sequence if they meet either or both of the following conditions:

• Client replies to user on WhatsApp – If a client responds to any of your messages on WhatsApp, they will also be removed from the sequence. This ensures that once a real conversation begins, automation stops, and you can continue the interaction manually.
• User manually messages clients on WhatsApp – If you send a message to the client manually via WhatsApp, they will also be removed from the sequence. This prevents the client from receiving automated follow-ups while you are already communicating with them directly.

You can enable one or both of these conditions depending on your workflow preferences. For example:

• Enable both options if you want automation to stop as soon as any two-way interaction happens.
• Enable only the client-reply option if you still want automated follow-ups unless the client responds.

Viewing your Automated WhatsApp Sequence History

When viewing the Automated WhatsApp Sequence, click on the three-dotted (⋮) icon next to the Automatic WhatsApp Message step. Then, click on ‘View Sent Message History’.

You’ll see each lead you’ve messaged, along with the following details:

• WhatsApp Sent Date
• Recipient number
• Privyr Status
• WhatsApp Status
  • Sending: Message is still being delivered on WhatsApp’s end
  • Sent / Delivered / Read: Message was successfully sent on WhatsApp, with delivery and read status shown if available
  • Failed: WhatsApp could not deliver the message (e.g. no valid WhatsApp account found)
• Client Details

Only leads that were successfully auto-responded to will be shown. Leads that weren’t messaged will not appear in this list. Click on a lead to view the full details of the lead.

When viewing a client in Privyr, you’ll also see the Automated WhatsApp Message logged to the client’s timeline.

Enhance your lead generation process and capture leads with Privyr’s built-in form builder. This feature allows you to create and manage lead forms directly from Privyr, without the need for external lead sources or complex integrations.

You’ll be able to share these lead forms anywhere to capture leads both online and offline, via a link or QR code.

Once a lead submits interest, they’ll automatically be added as a contact in your Privyr account’s client list. You’ll also get an instant lead alert so you can immediately contact them or send an auto-personalised Quick Response.

Here’s a step-by-step video about how to use Privyr Lead Forms. You can also find information in text form in the sections below.

Managing your Lead Forms

To view your Lead Forms, tap the Account icon in the footer, followed by Lead Forms. You can also access Lead Forms on web by going to the Integrations tab > Privyr Lead Forms.

Your Lead Forms List shows all Lead Forms you’ve created or have access to. It also displays the date that the Lead Form was created, as well as how many leads you’ve received via each form. Tap on a form to view more details and share, edit, or delete it.

Use the search box at the top of the screen to find specific forms, or tap on the sorting options to sort the forms alphabetically, by date created, or by when the last lead was received.

Tap the (+) button at the bottom to create a new Lead Form.

Note that only Privyr team admins can access the Lead Forms page.

Creating Lead Forms

Tap the (+) button on your Lead Forms list to start creating a new page.

You can add a title, description, and header image to your form. Only the title field is required, though we highly recommend adding a description and image to increase the chances of attracting a lead’s attention and getting them to submit interest.

Under Advanced Settings, you can select which form fields to show, and mark them as required or optional.

To include Custom Client Fields in the Privyr Lead Form, you must have an existing Custom Client Field created in your account. If you don’t have one yet, you’ll need to create a Custom Client Field first for the fields to appear in the list of Form Fields when creating or editing a Privyr Lead Form.

Additionally, you can define a Success Message that will be displayed to leads after they submit the form. The Lead Form and success screen will be generated based on your selections:

Also under Advanced Settings, you’ll find options to configure the Success CTA Button, internal Form Name, and Automatic Grouping.

• The Success CTA Button allows you to add a button on the success page that enables leads to take specific actions, such as:
  • Contacting you via Phone Call
  • Sending you a WhatsApp message
  • Sending you an SMS
  • Sending you an Email
  • Opening a Website link
• Form Name is strictly for internal reference (such as for your Privyr lead alerts), and will not be visible to leads anywhere on the lead form.
• Automatic Grouping automatically adds all leads received via the form into the specified client group.

Note that the Success CTA Button can only be configured on the Privyr mobile app at this time.

Once you’re done, tap the CREATE FORM button to save the form and see how it looks. Once completed, the form will appear in your Lead Forms list and can be viewed, shared, edited, or deleted at any time.

Here’s a video about how to design and share your Privyr Lead Form, so you can maximise the number of leads you capture.

Lead Form Details

Select a form from your Lead Forms list to view all details related to it.

Tap the Preview button to see what the form looks like to your clients. Both the form and success screen will be shown.

Total leads shows the total number of leads that were submitted via the form. Tap on it to view a list of the clients with more details and options available. Note that leads that you’ve manually deleted will not be shown or counted here.

The SHARE FORM button at the bottom allows you to share your form by copying the link or sharing via Facebook, WhatsApp, LinkedIn, or any other apps you use.

The QR Code button generates a QR code that leads to your form. You can physically show it to potential clients to scan from their phones, or save the image to share or print on slides, brochures, flyers, or other materials.

Tap on the Options button in the top right to edit the form or delete it. If you delete your form, the QR code and link will be made invalid, but your existing leads received from that form will not be affected.

New Lead Alerts

Any new leads submitted via your Privyr Lead Forms will send you a new lead alert via the Privyr app. You can configure these alerts via your Account Notification Settings.

Tap the alert to view the lead with all the captured information displayed on their notes field. You can immediately contact them or send an auto-personalised Quick Response.

You can also enable additional alerts if you haven’t acted on a new lead within 15 minutes and 60 minutes, in case you missed the first notification. You can enable these extra alerts via your Account Notification Settings.

All new leads from Privyr Lead Forms will be displayed with an UNCONTACTED label in their client details and the client list until you act on them. They’ll also appear in your Uncontacted Leads group and Actions tab.

Depending on your Uncontacted Leads Settings, the UNCONTACTED label may be automatically removed when you view the lead, click their contact buttons, send them content, and/or set a follow up date. You can also manually mark or unmark a lead as UNCONTACTED via the options menu when viewing the lead.

WhatsApp Auto-Responder

Distribute leads from Privyr Lead Forms to other Recipients

You can automatically share leads from Privyr Lead Forms with other recipients via email, even if they don’t have a Privyr account. This is useful if you’d like to distribute leads to your clients or colleagues, and can be configured to forward all leads to all recipients, or distribute leads equally in a Round Robin fashion.

Recipients will receive new lead details instantly via email and/or the Privyr app, with attribution ‘This lead was sent to you by @name at @company’ (where @name and @company are replaced with the Name and Company from your User Profile, respectively).

You can connect Privyr to your Facebook Pages to receive new leads from your Facebook & Instagram Lead Ads in your Privyr account. This gives you instant new lead alerts and automatically creates the leads in your client list so you can immediately contact them.

You can also share leads from your Facebook Pages with other recipients via email, even if they don’t have a Privyr account.

Note that you’ll need to have a Facebook account with access to one or more Facebook Pages that are running Facebook Lead Ads or Lead Generation in Messenger.

Connecting to your Facebook Account

Connecting your Privyr account to your Facebook Lead Ads only takes 30 seconds, and can be done directly within the Privyr mobile app:

1. From your Account tab
2. Tap on Integrations
3. Click Facebook
4. Log into your Facebook Profile
   • Note that if you wish to change the Facebook profile you’re connecting to, you’ll need to log into that account on your phone’s Facebook app or web browser and then try to connect again.
5. Select the Facebook Pages you want Privyr to have access to and click Continue
6. Select the Facebook Business Accounts that are managing the Facebook Pages you’ve selected from the previous page and click Continue
7. Click Save after reviewing Privyr’s access request
8. That’s it! You’ll see a success screen confirming the Facebook Pages you’ve connected to your Privyr account. 

We’ll send you a test lead within 15 seconds to demonstrate what happens once you receive a new lead from Facebook, and also give you the option to import past Facebook leads to your Privyr account.

All leads from the selected Facebook Pages will flow through to your Privyr account going forward. If you have new Facebook Pages that you’d like to connect in the future, follow the steps below to update your Facebook Page links.

Note that if you’ve previously connected your Facebook account to Privyr, you’ll need to follow the steps below to manage and update your connected Facebook Pages.

Importing Past Leads

The first time you connect your Facebook account to Privyr, you’ll be automatically prompted to import your Facebook leads from the last 24 hours or last 7 days.

If you skip this step or wish to import leads for newly connected pages later on, you can trigger an import by going to your Account tab > Integrations > Facebook page and tapping on Options > Import Past Leads.

This will give you the option to import leads from the past 24 hours, 7 days, 30 days, and 90 days, and will fetch leads from all connected Facebook Pages and add them to your account, ensuring that existing leads are not duplicated.

Note that Facebook does not keep your leads for more than 90 days, so that is the maximum timeframe to import your past leads.

Updating your Connected Facebook Pages

If you want to add or remove Facebook Pages linked to your Privyr account, you may do so by Managing your Facebook Pages through your Account tab > Integrations > Facebook page and complete the following steps:

1. In the Facebook integration screen, click on Options
2. Select Manage Facebook Pages
3. Click on OK
4. When setting up your Facebook connection, select Edit Previous Settings
5. Toggle the pages to add or remove them from Privyr
6. Finally, select the Facebook Business Accounts managing the Facebook pages, then continue with your Facebook setup

Renewing Facebook Permissions

Facebook permissions to access leads will automatically expire a few weeks to months after connecting to Facebook. This is normal and is part of Facebook’s process to ensure permissions are always opt-in and under your control.

When this happens, you will receive warnings via the Privyr app and email that your Facebook permissions are expiring or have expired. To refresh your Facebook permissions, go to your Account tab > Integrations > Facebook page and tap on Options > Renew Facebook Permissions. Simply follow the instructions to Continue and renew access.

Note that permissions will also expire if you change your Facebook account password or edit access to your Facebook Pages. In either case, just reconnect to Facebook from the Privyr app to update the permissions and ensure you don’t miss out on any leads.

New Lead Alerts

Once you connect your Facebook Lead Ads to your Privyr account, any new leads from those Facebook Pages will send you a new lead alert via the Privyr app and email. You can configure these alerts via your Account Notification Settings.

Tap the alert to view the lead with all the captured information displayed on their notes field. You can immediately contact them or send an auto-personalised Quick Response.

You can also enable additional alerts if you haven’t acted on a new lead within 15 minutes and 60 minutes, in case you missed the first notification. You can enable these extra alerts via your Account Notification Settings.

All new leads from your Facebook Lead Ads will be displayed with an UNCONTACTED label in their client details and the client list until you act on them. They’ll also appear in your Uncontacted Leads group and Actions tab.

Depending on your Uncontacted Leads Settings, the UNCONTACTED label may be automatically removed when you view the lead, click their contact buttons, send them content, and/or set a follow up date. You can also manually mark or unmark a lead as UNCONTACTED via the options menu when viewing the lead.

WhatsApp Auto-Responder

You can set up a WhatsApp Auto-Responder to instantly message new leads on WhatsApp. Any new lead you receive via your integrations will be immediately and automatically messaged from your own WhatsApp number, even when you’re busy or offline.

All messages are sent from your existing WhatsApp Business number, so you can view and continue all conversations directly in the WhatsApp Business app on your phone or laptop.

Distribute Facebook Leads to other Recipients

You can automatically share leads from Facebook with other recipients via email, even if they don’t have a Privyr account. This is useful if you’d like to distribute leads to your clients or colleagues, and can be configured to forward all leads to all recipients, or distribute leads equally in a Round Robin fashion.

Recipients will receive new lead details instantly via email and/or the Privyr app, with attribution ‘This lead was sent to you by @name at @company’ (where @name and @company are replaced with the Name and Company from your User Profile, respectively).

Delayed Facebook Lead Alerts

Privyr gives instant alerts for new leads generated via Facebook Lead Ads, so you can immediately get in touch with your leads.

However, there are cases where new lead alerts are delayed due to your Facebook settings. This issue may occur if you previously connected certain systems such as Hubspot to receive your Facebook Leads and/or changed your Facebook Business Manager settings, which can impact whether Facebook allows lead alerts to other systems.

If we detect delayed alerts for your account, we’ll give you warnings in the new lead alert emails that your leads may be delayed. Follow the steps below to ensure that real-time lead notifications are enabled for Privyr and all other connected systems:

1. Go to your Facebook Business Manager Settings at https://business.facebook.com/settings/leads-accesses/
2. Click on Integrations > Leads Access
3. Select the Business / Page that you’re receiving leads from
4. Click on the CRMs tab
5. Click on the Assign CRMs button
6. Select Privyr from the list
7. Click on the Assign button
8. Click on Done
9. Privyr should now appear under your Connected CRMs list, and you’ll receive instant new lead alerts going forward

Disconnecting from Facebook

You can completely disconnect your Privyr and Facebook accounts to stop receiving new leads from your Facebook Lead Ads. This can be useful if you want to change Facebook accounts or prevent access to those Facebook leads going forward.

To fully disconnect your Facebook Account, go to your Account tab > Integrations > Facebook and tap on Options > Disconnect Facebook account

Setting up Meta Conversions API (CAPI) on Privyr

It takes less than 5 minutes to set up Privyr’s Meta Conversions API (CAPI) integration, via the following steps:

1. Connect your Privyr account to Facebook Lead Ads
   • This lets you instantly and automatically receive new leads from Meta Lead Ads into your Privyr account
2. In Privyr, update the LEAD STAGE field on leads from Facebook
   • This can be done from the Privyr mobile app or Privyr web, and trains the Meta ads algorithm on which leads are good for your business
   • Keep updating the LEAD STAGE field as each lead progresses, and also on past Facebook leads received within the last 90 days.
3. In Meta Ads Manager, optimise your ads for Conversion Leads
   • Create a new Ad Set with the following options:
     • Conversion Location: ‘Instant forms’
     • Performance Goal: ‘Maximise number of conversion leads’
     • Dataset: ‘<Page_Name> Event Data’
     • Conversion Event: <Target_Lead_Stage>
   • This tells Meta to optimise your campaigns to find higher-quality leads, based on the lead quality signals you’re sending from Privyr

These steps are for CAPI v2, which replaced the previous version in July 2025. If you are using the previous setup, please refer to the CAPI v1 guide.

Step 1. Connect your Privyr account to Facebook Lead Ads

Connecting your Privyr account to your Facebook Lead Ads only takes 30 seconds, and can be done from the Privyr mobile app or web version:

• Privyr Mobile App: Go to your Account tab > Integrations > Facebook. Follow the steps to connect your Facebook account.
• Privyr Web: Go to the Integrations tab and click on Facebook. Follow the steps to connect your Facebook account.

Once connected, you’ll see a list of your connected Facebook Pages and can import past leads. All new leads from your Facebook Lead Ads will be instantly and automatically added to your Privyr account going forward.

Step 2. Update the LEAD STAGE field in Privyr

When viewing a Facebook lead in Privyr, click on the LEAD STAGE field and update it to the correct value (e.g. Interested, Meeting Booked, Closed Won, etc). This can be done from the Privyr mobile app and web version.

Keep updating the LEAD STAGE field as each lead progresses, to ensure the latest lead quality signals are sent to Meta. You can also update the LEAD STAGE field on your past Facebook leads, to give Meta more data to train their algorithms on.

Once you update the LEAD STAGE field, you’ll see a confirmation at the bottom of the client details screen that Privyr is optimising your Meta campaigns.

Note that Facebook does not keep your leads for more than 90 days, so any updates to leads older than 90 days won’t be used to optimise your campaigns.

You can also view the Meta Conversions API settings page on Privyr web to confirm that conversion events are being sent correctly.

You can rename or customise the LEAD STAGE field options based on your sales funnel, under your Account tab > Settings > Custom Client Fields.

If the field name has been changed, you can identify it by looking for the dropdown field with the [Default] label.

Step 3. Optimise your Meta Ads for Conversion Leads

In Meta Ads Manager, create a new Ad Set with the following options:

• Conversion Location: ‘Instant forms’
• Performance Goal: ‘Maximise number of conversion leads’
  • Note that you can’t change the Performance Goal for an Ad Set that has already started running. If you have existing Ad Sets, you can stop them and create/duplicate a new Ad Set to get conversion leads instead.
• Dataset: ‘<Page_Name> Event Data’
  • For example, if your Facebook Page is named ACME Residences, the Dataset will be ‘ACME Residences Event Data’
  • If you can’t find the relevant dataset, you may need to grant your Ad Account permissions to the dataset.
• Conversion Event: <Target_Lead_Stage>
  • This is the lead stage you want to optimise on (e.g. Meeting Booked, Closed Won, etc).
  • If you can’t find the lead stage you want to use, go to an existing lead from the same Facebook Page in Privyr and update the LEAD STAGE field to the one you want to use. You may need to wait a few minutes and refresh Meta Ads Manager for the new stage to appear.
  • If you don’t see the ‘Conversion Event‘ dropdown on your Ad Set after correctly selecting the Performance Goal and Dataset, your Meta Ads Manager may not be updated to the latest version yet. In this case, you can configure your Sales Funnel instead.

Once done, your new Ad Set will be optimised to find higher-quality leads based on the lead quality signals you’re sending from Privyr.

Configuring your Sales Funnel on Meta Ads Manager

You can configure your sales funnel on Meta Events Manager to let Meta know which stages signal a quality lead, and the order of stages in your funnel. You must have admin access in your Meta Business Manager suite to complete this section.

Configuring the sales funnel on Meta Events Manager is no longer required as of September 2025, since the Ad Set configuration allows directly selecting a Conversion Event to optimise on.

However, some advertisers may not have the Conversion Event option on their ad sets yet, and will still need to configure their sales funnel to run conversion optimised ads.

1. In Meta Ads Manager, go to Events Manager Overview
2. Click on Datasets, then select the dataset called ‘<Page_Name> Event Data’
   • Alternatively, you can go to the Meta Conversions API settings page on Privyr web, and click on the relevant Facebook Page at the bottom. This will open the relevant dataset in Meta Events Manager.
3. On the Overview tab, click on Configure sales funnel
   • If you’ve previously configured your Sales funnel, this option will be under CRM > Modify on the right column.
   • Note that you may not be able to configure your sales funnel until you have updated the LEAD STAGE field in Privyr for real leads from ads on the same Facebook page. Updating test leads may not be enable funnel configuration.
4. Under Configure Funnel Stages, map the positive stages that relate to a quality lead, and drag and drop them to set the order of your funnel:
   • Positive stages: Stages that signify a quality lead (e.g. interested, meeting-booked, proposal, negotiating, closed-won).
   • Other stages: All remaining stages that don’t relate to a quality lead (e.g. uncontactable, closed-lost)
   • Once done, click Use funnel
5. Under Optimisation target, select the earliest positive stages you want to optimise for, and include any subsequent positive stages in your funnel.
6. Once done, click Use optimisation stages, then Finish

Sharing Dataset Permissions with your Ad Account

If you aren’t able to find or select the correct Dataset (named ‘<Page_Name> Event Data’) when configuring your Ad Set for conversion leads optimisation, it may be because your Ad Account does not have permissions to access the dataset.

This can be solved by sharing the dataset with your ad account(s), via the following steps:

1. On Privyr web, click on your Profile Photo > Settings under the top-right menu
2. Under Settings in the left column, click on Meta Conversions API to open the Meta Conversions API settings page
3. Under Connected Facebook Pages, click on the Facebook Page you want to run conversion-optimised ads on.
4. This will open the dataset named ‘<Page_Name> Event Data’ directly in Meta Events Manager
5. Click on the Settings tab of the dataset
6. Under Sharing > Ad accounts, click on ‘Share with an ad account‘
7. This will lead you to Datasets & Pixels under your Business Portfolio. Re-select the correct dataset from the list if needed
8. Click on the Connected Assets tab under the dataset
9. Click on Connect Assets, then select Other Business Assets, check the ad account(s) that you want to grant access to, and click ‘Add’
10. Once done, your Ad Account should have access to the dataset, and you can proceed to Optimise your Meta Ads for Conversion Leads

You can connect Privyr to your LinkedIn account to receive new leads from your LinkedIn Lead Gen Forms in your Privyr account. This gives you instant new lead alerts and automatically creates the leads in your client list so you can immediately contact them.

You can also share leads from your LinkedIn Lead Gen Forms with other recipients via email, even if they don’t have a Privyr account.

Note that you’ll need to have a LinkedIn account with access to one or more Campaign Manager advertising accounts that are running campaigns using Lead Gen Forms.

Connecting to your LinkedIn Account

Connecting your Privyr account to your LinkedIn Lead Gen Forms only takes 30 seconds, and can be done directly within the Privyr mobile app or website:

1. From your Account tab, tap on Integrations
2. Tap on LinkedIn and log into your LinkedIn profile
3. That’s it! You’ll see a success message confirming that you’ve successfully connected to your Privyr account
4. Upon closing the success message, you will find a list of all of your connected Lead Gen Forms from all of your Campaign Manager ad accounts

We’ll send you a test lead within 15 seconds to demonstrate what happens once you receive a new lead from LinkedIn, and also give you the option to import past LinkedIn leads to your Privyr account.

All leads from your ad accounts will flow through to your Privyr account going forward. If you have new campaigns and/or ad accounts that you’d like to connect in the future, follow the steps below to update your connected forms.

Note that if you’ve previously connected your LinkedIn account to Privyr, you’ll need to follow the steps below to manage and update your connected LinkedIn Pages.

Importing Past Leads

The first time you connect your LinkedIn account to Privyr, you’ll be automatically prompted to import your LinkedIn leads from the last 24 hours or the last 7 days.

If you skip this step or wish to import leads for newly connected pages later on, you can trigger an import by going to your Account tab > Integrations > LinkedIn page and tapping on Options > Import Past Leads.

This will give you the option to import leads from the past 24 hours, 7 days, 30 days, and 90 days, and will fetch leads from all connected LinkedIn Lead Gen Forms and add them to your account, ensuring that existing leads are not duplicated.

Updating your Connected LinkedIn Forms

If you want to update the available LinkedIn Gen Forms linked to your Privyr account, go to your Account tab > Integrations > LinkedIn page and tap on Sync Lead Gen Forms.

This will automatically update the list of forms to match the latest version in your Campaign Manager ad account(s).

Renewing LinkedIn Permissions

If your LinkedIn permissions expire, you can renew your LinkedIn access by going to Account tab > Integrations > LinkedIn > Options > Renew LinkedIn access.

If you are still unable to connect, check with your LinkedIn Campaign Manager ad account admin that you have been granted permission to pull leads.

New Lead Alerts

Once you connect LinkedIn to your Privyr account, any new leads from your LinkedIn Lead Gen Forms will send you a new lead alert via the Privyr app and email. You can configure these alerts via your Account Notification Settings.

Tap the alert to view the lead with all the captured information displayed on their notes field. You can immediately contact them or send an auto-personalised Quick Response.

Note that you’ll need to have a TikTok for Business account to set up this integration.

Connecting to TikTok

Connecting your Privyr account to TikTok takes less than 30 seconds, via the instructions below:

1. On the Privyr desktop website, click on your Integrations tab
   • If you’re using the Privyr mobile app, go to your Account tab, then tap on Integrations
2. Click on TikTok
3. Click on Connect to TikTok and sign in to your TikTok for Business account
   • Note that TikTok’s sign-in flow may not work on certain mobile devices. If you’re having issues, try requesting the desktop site on your mobile browser or use a laptop instead.
4. Ensure that all access permissions are enabled (Creative Management, Lead Management)
5. Click on Confirm

Once done, you’ll see your connected TikTok forms listed with the option to Send Test Lead to your Privyr account. All new TikTok leads from those forms will be automatically and instantly sent to your Privyr account!

Note that if you create more TikTok forms in the future, you can connect them by clicking on Connect New Forms and repeating steps 4-5 above.

You can connect Privyr to your WordPress website to receive new leads submitted via your website contact forms in your Privyr account. This gives you instant new lead alerts and automatically creates the leads in your client list so you can immediately contact them.

Privyr works with popular WordPress contact forms such as Contact Form 7, WPForms, Elementor Forms, Gravity Forms, Ninja Forms, Divi, and more.

Note that you’ll need to have admin access to a website built on WordPress, with the relevant contact form builder plugin or theme already installed and activated.

Connecting to WordPress

Connecting your Privyr account to WordPress only takes a minute, and can be done directly from your WordPress account. You’ll only have to set this up once, even if you’re using multiple contact form plugins on your site.

Follow the instructions below to connect your WordPress contact forms to Privyr:

1. Log into your WordPress admin site
2. Click on Plugins in the left admin panel
3. Click on Add New in the left admin panel
4. Search for ‘privyr‘ to find the Privyr CRM plugin
5. Click on Install Now and wait a few seconds
6. Click on Activate once the installation is complete
7. Click on Privyr CRM at the bottom of the left admin panel
8. Enter your Privyr Account Token
   • This value can be found on the WordPress integration page in your Privyr account
9. Click on Save

Once done, your compatible contact form plugin(s) will be connected to Privyr and show a green connected status. You can submit test leads on your website contact form(s) to ensure you receive them instantly in your Privyr account.

You’ll also have the option of adding a ‘Website Name‘ that will be displayed on your new lead alerts and client details to let you know where the lead came from.

Connecting to Contact Form 7

You can connect Privyr to Contact Form 7 to instantly receive new leads submitted via Contact Form 7 in your Privyr account.

To connect to Contact Form 7, follow the same steps as Connecting to WordPress. This will automatically connect to Contact Form 7 as long as it is already installed and activated on your WordPress website.

Once connected, you’ll see Contact Form 7 displayed with a green connected status.

Connecting to WPForms

To connect to WPForms, follow the same steps as Connecting to WordPress. This will automatically connect to WPForms as long as it is already installed and activated on your WordPress website.

Connecting to Elementor Forms

You can connect Privyr to Elementor Forms to instantly receive new leads submitted via Elementor Forms in your Privyr account.

Connecting to Gravity Forms

Connecting to Everest Forms

You can connect Privyr to Everest Forms to instantly receive new leads submitted via Everest Forms in your Privyr account.

Connecting to MetForm

You can connect Privyr to MetForm to instantly receive new leads submitted via MetForm in your Privyr account.

To connect to MetForm, follow the same steps as Connecting to WordPress. This will automatically connect to MetForm as long as it is already installed and activated on your WordPress website.

Once connected, you’ll see MetForm displayed with a green connected status.

New Lead Alerts

Once you connect your WordPress website to your Privyr account, any new leads submitted via your contact forms will send you a new lead alert via the Privyr app and email. You can configure these alerts via your Account Notification Settings.

Tap the alert to view the lead with all the captured information displayed on their notes field. You can immediately contact them or send an auto-personalised Quick Response.

You can also enable additional alerts if you haven’t acted on a new lead within 15 minutes and 60 minutes, in case you missed the first notification. You can enable these extra alerts via your Account Notification Settings.

All new leads from your website will be displayed with an UNCONTACTED label in their client details and the client list until you act on them. They’ll also appear in your Uncontacted Leads group and Actions tab.

Depending on your Uncontacted Leads Settings, the UNCONTACTED label may be automatically removed when you view the lead, click their contact buttons, send them content, and/or set a follow up date. You can also manually mark or unmark a lead as UNCONTACTED via the options menu when viewing the lead.

WhatsApp Auto-Responder

You can set up a WhatsApp Auto-Responder to instantly message new leads on WhatsApp. Any new lead you receive via your integrations will be immediately and automatically messaged from your own WhatsApp number, even when you’re busy or offline.

All messages are sent from your existing WhatsApp Business number, so you can view and continue all conversations directly in the WhatsApp Business app on your phone or laptop.

Distribute WordPress Leads to other Recipients

You can automatically share leads from WordPress with other recipients via email, even if they don’t have a Privyr account. This is useful if you’d like to distribute leads to your clients or colleagues, and can be configured to forward all leads to all recipients, or distribute leads equally in a Round Robin fashion.

Recipients will receive new lead details instantly via email and/or the Privyr app, with attribution ‘This lead was sent to you by @name at @company’ (where @name and @company are replaced with the Name and Company from your User Profile, respectively).

You can connect Privyr to Google Forms to receive new leads submitted via your Google Forms in your Privyr account. This gives you instant new lead alerts and automatically creates the leads in your client list, so you can immediately contact them.

Note that you’ll need to have or create a Google account to set up this integration.

Connecting to Google Forms

Connecting your Privyr account to your Google Forms only takes a couple of minutes, and can be done directly from your Google account.

There are 2 steps to complete the Google Forms integration:

1. Install the ‘Privyr for Google Forms’ Plugin: This step only needs to be done once
2. Configure the plugin for each form: This step needs to be done for every form that you want to connect to Privyr

STEP 1. INSTALL THE ‘PRIVYR FOR GOOGLE FORMS’ PLUGIN

Follow these steps to install the ‘Privyr for Google Forms’ plugin. This step only needs to be completed once. After completing the installation, proceed to STEP 2 to configure the plugin.

1. Log into Google Forms
2. Edit the form you wish to connect
3. Click the ⋮ (More) button
4. Select Get add-ons from the menu
5. Search for “Privyr” and select Privyr for Google Forms
6. Click on Install, then Continue. Follow the steps to grant Privyr access to your Google Form and complete the installation

At this point, your leads will not be sent to Privyr yet, since the plugin has been installed but not configured. Please proceed to the next section to connect your Privyr account to Google Forms.

STEP 2. CONFIGURE THE PLUGIN FOR EACH FORM

Follow these steps for each Google Form that you want to connect to Privyr. If you have not installed the ‘Privyr for Google Forms’ plugin yet, please go back to STEP 1.

1. Go to Google Forms and open the form you want to connect
2. Click on the Puzzle icon in the header
   • On smaller browser windows, this option may be under “…” > Add-Ons
3. Select Privyr for Google Forms from the menu
4. Select Configure and wait for the configuration panel to appear
   • If the Configure option is unavailable, wait a few minutes and try again. If it remains unavailable, please reinstall the plugin.
5. Enter your Privyr Account Token
   • This value can be found on the Google Forms integration page in your Privyr account
6. Click Save. Once you see the success text, click on X to close the configuration panel

Once done, your form will be connected to Privyr. You can submit test leads on your form(s) to ensure you receive them instantly in your Privyr account.

Issues with multiple Google Accounts

If you’re having issues installing or setting up the Privyr for Google Forms plugin, it could be that you’re logged in to multiple Google accounts. Multiple Google Accounts is not supported by Google’s Apps Script, add-ons, or web apps, and may cause errors such as “Bad Request: Error 400” or “This site can’t be reached”.

To fix this, log out of all your Google Accounts and only log in to one Google account before installing and configuring the “Privyr for Google Forms” plugin. Alternatively, you may open an incognito window in Google Chrome, or an equivalent private browsing window, and log in to the Google Account to proceed with the configuration.

New Lead Alerts
