<h2>Introduction</h2>



<p>Your Clients screen shows all leads and clients that you&#8217;ve added to Privyr, with options to search your client list and phonebook, view client details, perform bulk actions, and add or import new contacts to your account.</p>



<p>There is also a <strong>Groups </strong>tab to view and organise your clients easily, such as by new leads, recently active, or your own custom groups.</p>

<h2>All Clients Tab</h2>



<p>The <strong>All Clients</strong> tab shows all new leads and clients in your Privyr account. You&#8217;ll be able to see each client&#8217;s name, a preview of their notes, and the last piece of <strong><a href="https://help.privyr.com/knowledge-base/content-overview/">content</a></strong> you sent them (if any). Click on any client to view their full <strong><a href="https://help.privyr.com/knowledge-base/client-details/">client details</a></strong>.</p>



<p><strong><a href="https://help.privyr.com/knowledge-base/client-details/#uncontacted-leads">New Leads</a></strong> received via <strong><a href="https://help.privyr.com/knowledge-base/integrations/">integrations</a></strong> such as your <strong><a href="https://help.privyr.com/knowledge-base/website-integration/">website</a></strong> or <strong><a href="https://help.privyr.com/knowledge-base/facebook-integrations/">Facebook Lead Ads</a></strong> will have an &#8216;<strong>UNCONTACTED</strong>&#8216; label displayed next to their name.</p>



<p>Use the <strong>search box </strong>at the top of the screen to find contacts in your client list and phonebook. If you select a contact from your phonebook, you&#8217;ll be given the option to import it directly to your Privyr account.</p>



<p>You can also use the <strong>(+) </strong>button to <strong><a href="https://help.privyr.com/knowledge-base/client-add-edit/#entering-a-new-contact">enter a new contact</a> </strong>or<strong> <a href="https://help.privyr.com/knowledge-base/client-add-edit/#adding-contacts-importing-from-phonebook">import one or multiple contacts from your phonebook</a></strong>.</p>



<p>Tap and hold on any client to trigger multi-select mode and perform <strong><a href="https://help.privyr.com/knowledge-base/client-list/#bulk-client-actions">bulk actions</a></strong> such as bulk sending content or bulk deleting clients.</p>



<p>Your client list is sorted by the date the client was added to Privyr, with the most recent one at the top. </p>



<h3>Client List Filter</h3>



<p>You can use the <strong>Filter </strong>option on the upper right to easily filter leads on your Client List. You can apply one or more filters based on your preferences for the following criteria below, then click <strong>Apply Filters </strong>to see the filter result.</p>



<ol><li><strong>Date Created </strong>&#8211; date range when the client was added/created</li><li><strong>Assigned to </strong>&#8211; to whom the client is assigned to</li><li><strong>Date Assigned </strong>&#8211; date range when the client was assigned to the assignee</li><li><strong>Follow</strong> <strong>Up </strong>&#8211; date range of the scheduled Follow Up Date of the client</li><li><strong>Last Activity </strong>&#8211; date range of the last activity to the client</li><li><strong>Contacted Status </strong>&#8211; if the client’s status is Contacted or Uncontacted</li><li><strong>Source </strong>&#8211; which lead source the client come from</li><li><strong>Groups </strong>&#8211; which Group/s the client is added to</li><li><strong>Custom Client Fields</strong> (if available)</li></ol>

<p>The <strong>Groups</strong> tab displays the default groups as well as any custom groups you&#8217;ve created. The following default groups will always be displayed at the top of the screen:</p>



<ul><li><strong><a href="https://help.privyr.com/knowledge-base/client-details/#uncontacted-leads">Uncontacted Leads</a></strong> that you haven&#8217;t acted on yet. This list shows the most recently received leads first, with a purple dot highlighting new leads since you last checked the list.</li><li>View leads <strong>By Lead Source</strong>. This is a quick filter to view leads based on the lead source they came from (Facebook, Websites, Privyr Lead Forms, etc.)  </li><li> Clients who <strong>Recently Viewed Content</strong>, which are those who opened one of your <strong><a href="https://help.privyr.com/knowledge-base/files/">file</a></strong> or <strong><a href="https://help.privyr.com/knowledge-base/pages/">page</a></strong> links in the last 7 days. This list will be sorted by the most recently viewed, with a purple dot highlighting new views since you last checked the list. </li></ul>



<p>You can create, manage, and edit up to 100 custom groups, which will be displayed in alphabetical order below the default groups. View more details at <strong><a href="https://help.privyr.com/knowledge-base/groups/">Client Groups</a></strong>.</p>

<h2>Introduction</h2>



<p>The client details screen gives you access to all the information and actions related to a given lead or client. You can view and edit your follow up date, groups, notes, and interaction timeline, contact the client, add to your phonebook, and edit or delete the client from here.</p>

<p>The client&#8217;s name is displayed at the top of the screen, with buttons to send <strong>Quick Response</strong>, <strong>Call</strong>, <strong>SMS</strong>, <strong>email</strong>, or <strong>WhatsApp</strong> the client. These contact buttons will be greyed out if the relevant information is missing (e.g. no phone number or email address).</p>



<p>The <strong>QUICK RESPONSES</strong> button at the top allows you to send an auto-personalised message, file, or page to the client in seconds, without even needing to type. Just tap this button and select the content you wish to send.<a href="https://help.privyr.com/knowledge-base/quick-responses/"> <strong><em>View more about Quick Responses.</em></strong></a></p>



<p>Tap on the <strong>Options</strong> button in the top right to<a href="https://help.privyr.com/knowledge-base/client-add-edit/#editing-clients"> <strong>edit the client</strong></a>,<a href="https://help.privyr.com/knowledge-base/client-add-edit/#deleting-clients"> <strong>delete the client</strong></a> from Privyr, mark the client as an<a href="https://help.privyr.com/knowledge-base/client-details/#uncontacted-leads"> <strong>uncontacted lead</strong></a>,<a href="https://help.privyr.com/knowledge-base/client-add-edit/#saving-to-phonebook"> <strong>add the client to your phonebook</strong></a>, or <a href="https://help.privyr.com/knowledge-base/client-details/#share-client-details-with-others"><strong>share client details</strong></a>.</p>

<ul><li>The <a href="https://help.privyr.com/knowledge-base/follow-ups/"><strong>Follow Up</strong></a><strong> </strong>field shows the next follow up date for the client. You&#8217;ll receive follow-up alerts via the Privyr app on the date and time that a client’s follow up is due. Tap anywhere on this field to change the follow up date and/or time.</li><li>The <strong>Last Activity </strong>field shows the last activity performed for the client.</li><li>The <a href="https://help.privyr.com/knowledge-base/groups/"><strong>Groups</strong></a> section shows all custom groups that the client is a part of. Tap anywhere on this section to add or remove the client from groups. <p>The <strong>Timeline</strong> tab shows a complete history of interactions with the lead or client, including activities (e.g. phone calls, messages, meetings, and notes) as well as content that you&#8217;ve sent the client through Privyr (e.g.<a href="https://help.privyr.com/knowledge-base/messages/"> <strong>messages</strong></a>,<a href="https://help.privyr.com/knowledge-base/files/"> <strong>files</strong></a>, and<a href="https://help.privyr.com/knowledge-base/pages/"> <strong>pages</strong></a>).</p>



<p>All timeline interactions are sorted chronologically by date and time, with the latest items at the top. Any<a href="https://help.privyr.com/knowledge-base/files/"> <strong>files</strong></a> and<a href="https://help.privyr.com/knowledge-base/pages/"> <strong>pages</strong></a> shared with the client will also display statistics such as if and when the client last viewed it, the number of times viewed, and the total time spent viewing. Tap the file or page to show detailed view stats.</p>



<p>You can<a href="https://help.privyr.com/knowledge-base/client-details/#adding-and-editing-timeline-interactions"> <strong>add interactions to your timeline</strong></a>, or tap on an existing item to view more details and options related to it.</p>

<p>If you&#8217;ve shared<a href="https://help.privyr.com/knowledge-base/files/"> <strong>Files</strong></a> and<a href="https://help.privyr.com/knowledge-base/pages/"> <strong>Pages</strong></a> with a client, you can see detailed view stats showing a breakdown of all views on the content you&#8217;ve sent, including the date and time of each view, the time spent viewing, and even what type of device it was viewed on. </p>



<p>Simply tap the shared file or page from the client timeline, then select <strong>&#8216;Show detailed view stats&#8217;</strong>.</p>

<p>Tap the &#8216;<strong>+ Add Activity</strong>&#8216; button to manually create activities on your timeline. You&#8217;ll be prompted to select an activity type (<strong>Phone Call</strong>, <strong>Message</strong>, <strong>Meeting</strong>, <strong>Note</strong>, or <strong>Attachment</strong>), and can view and edit the following fields of the activity:</p>



<ul><li><strong>Title</strong> is the name of the activity. It will default to the activity type (e.g. Phone Call, Message, Meeting, or Note), but you can customise the title by tapping to edit it.</li><li><strong>Icon</strong> is a visual representation of the activity type. You can tap it to change the icon or activity type.</li><li><strong>Details</strong> are optional comments about the activity. You can add as much information here as you like, or just leave it blank.</li><li><strong>Date &amp; Time</strong> will determine where the activity will be displayed in the timeline. It will default to the current time, but you can tap to change it to any time in the past or future.</li><li><strong>Attachments</strong> allow you to attach images, videos, audio files, PDFs, and more to your activities</li><li><strong>Geolocation</strong> allows you to view the location you were at when this activity was created</li></ul>



<p>Once you&#8217;re done, tap the &#8216;<strong>ADD ACTIVITY</strong>&#8216; button at the bottom to save it to your timeline.</p>



<p>For upcoming activities, you can set up alerts to receive push notifications at the time of activity, 15 minutes before activity, and/or 1 hour before activity. You can <strong><a href="https://help.privyr.com/knowledge-base/account-preferences/#notifications">change this setting</a> </strong>by going to your <strong>Account </strong>tab and clicking on <strong>Settings</strong> &gt; <strong>Notifications</strong> &gt; <strong>Upcoming Activity Alerts</strong>. </p>



<p><strong>AUTOMATICALLY CAPTURED ACTIVITIES</strong></p>

<p>Activities are automatically logged to your client&#8217;s timeline whenever you click the contact buttons to <strong>call</strong>, <strong>SMS</strong>, <strong>email</strong>, or <strong>WhatsApp </strong>a client. Upon returning to Privyr, you&#8217;ll be prompted with the option to update or discard the activity.</p>



<p>You can tap to add quick notes about your call or message directly from this prompt, and save the updates via the <strong>&#8216;LOG ACTIVITY&#8217;</strong> button. For bigger changes, tap the <strong>&#8216;Edit&#8217;</strong> button in the upper-right to switch to the full editing view and update the title, icon, details, and/or date &amp; time.</p>



<p>If you tapped the contact button by accident or don&#8217;t want to save the activity to your timeline, just select <strong>&#8216;DISCARD&#8217;</strong> when prompted.</p>



<p><em>Note that any content you send the client through Privyr, such as&nbsp;</em><strong><a href="https://help.privyr.com/knowledge-base/messages/"><em>messages</em></a></strong><em>,</em><strong><a href="https://help.privyr.com/knowledge-base/files/"><em>&nbsp;files</em></a></strong><em>, and&nbsp;</em><strong><em><a href="https://help.privyr.com/knowledge-base/pages/">pages</a></em></strong><em>, will also automatically appear in your client&#8217;s timeline.</em></p>



<p><strong>EDITING AND DELETING FROM THE TIMELINE</strong></p>

<p>Tap on any timeline item to show options to view, edit, or delete it. Note that the options available will depend on the type of item selected:</p>



<ul><li><strong>Activities</strong> (phone calls, messages, meetings, and notes) are fully editable, and can be deleted.</li><li><strong>Content</strong>&nbsp;(<strong><a href="https://help.privyr.com/knowledge-base/messages/">messages</a></strong>,&nbsp;<strong><a href="https://help.privyr.com/knowledge-base/files/">files</a></strong>,&nbsp;<strong><a href="https://help.privyr.com/knowledge-base/pages/">pages</a></strong>) cannot be edited, as they reflect what was sent to the client. Instead, you&#8217;ll have options to view the content details, preview what was sent, resend the content, or delete it. Note that deleting a <strong><a href="https://help.privyr.com/knowledge-base/files/">file</a></strong> or <a href="https://help.privyr.com/knowledge-base/pages/"><strong>page</strong></a> from a client&#8217;s timeline will also make the file or page link you shared with them invalid, so they&#8217;ll no longer be able to access it.</li></ul>



<h2>Uncontacted Leads</h2>

<p><strong><a href="https://help.privyr.com/knowledge-base/client-details/#uncontacted-leads">New Leads</a></strong> received via <strong><a href="https://help.privyr.com/knowledge-base/integrations/">integrations</a></strong> such as your <strong><a href="https://help.privyr.com/knowledge-base/website-integration/">website</a></strong> or <strong><a href="https://help.privyr.com/knowledge-base/facebook-integrations/">Facebook Lead Ads</a></strong> will be highlighted with a purple <strong>UNCONTACTED</strong> bar when viewing their client details. They are also displayed with a <strong>UNCONTACTED</strong> label next to their name on your <strong><a href="https://help.privyr.com/knowledge-base/client-list/">client list</a></strong>, and will appear in your <strong><a href="https://help.privyr.com/knowledge-base/client-list/#groups-tab">Uncontacted Leads group</a></strong>.</p>



<p>You can tap on the purple <strong>UNCONTACTED</strong> bar to <a href="https://help.privyr.com/knowledge-base/client-add-edit/#saving-to-phonebook"><strong>save the contact to your phonebook</strong></a> or remove the Uncontacted label. All other information and functionality is the same as the Client Details screen.</p>



<p>You can set a <strong><a href="https://help.privyr.com/knowledge-base/default-intro-sequence/">Default Intro Sequence </a></strong>which will prompt you to start engaging the lead with a pre-defined sequence, whenver you view an uncontacted lead in the Privyr app.</p>



<p>Depending on your <strong><a href="https://help.privyr.com/knowledge-base/account-preferences/#uncontacted-leads-settings">Uncontacted Lead Settings</a></strong>, the <strong>UNCONTACTED</strong> label may be automatically removed when you click their contact buttons, send them a <strong><a href="https://help.privyr.com/knowledge-base/quick-responses/">quick response</a></strong>, and/or add a manual timeline acttivity. You can also manually mark or unmark an uncontacted lead via the <strong>Options</strong> menu.</p>



<h2>Share Client Details with Others</h2>



<p>You can easily share basic lead details with others, whether they are Privyr users or not, by following these steps:</p>



<ol><li>Go to the client that you want to share and tap on <strong>Options</strong></li><li>Select <strong>Share client details</strong></li><li>Select the <strong>app</strong> that you want to send the client details to (e.g. Messages, WhatsApp, Email, Telegram, Instagram, Messenger, etc.)</li><li>Your selected app will be populated with the following:<ul><li><strong>Basic client details:</strong> The client&#8217;s name, mobile number, email address, and notes. If the notes are too lengthy, they will be truncated. Full notes can be accessed by adding the client to Privyr via the provided <strong>link</strong> or <strong>QR code</strong>.</li><li><strong>Link: </strong>Tapping the link will automatically add the client to Privyr, if the recipient has the app installed.</li><li><strong>QR code:</strong> Scanning this QR code will also automatically add the client to Privyr, if the recipient has the app installed.</li></ul></li></ol>

<p>If you’re always meeting new people, you can use our&nbsp;<strong><a href="https://help.privyr.com/knowledge-base/adding-and-editing-clients/#quick-add-contact-send-message">Quick Add &amp; Send Message</a></strong>&nbsp;feature to send a personalised message to someone you just met, without having to add them to your phonebook.</p>



<h2>Adding Contacts &amp; Importing from Phonebook</h2>

<p>You can add and import contacts from your contact list via two methods:</p>



<ul><li><strong>Search Bar: </strong>use the search bar at the top to find contacts across your client list and phonebook. Tap on a phonebook contact to immediately start importing them.</li><li><strong>The</strong> <strong>(+) Button:</strong> tap the (+) button to manually enter a new contact or import up to 50 contacts from your phonebook at once.</li></ul>



<p><em>Note viewing and importing of contacts from your phonebook requires permissions to your phone&#8217;s contacts. If you don&#8217;t see your phonebook contacts when searching or importing, check your phone settings and grant Privyr access to phone contacts.</em></p>



<h2 id="quick-add-contact-send-message">Quick Add Contact &amp; Send Message</h2>



<p>If you’ve just met someone in person (or virtually) and want to send them a personalised message to connect immediately, you can do so in one step via the&nbsp;<strong>Quick Add &amp; Send Message</strong>&nbsp;feature.</p>

<ol><li>On your&nbsp;<strong><a href="https://help.privyr.com/knowledge-base/client-list/">Client List</a></strong>, tap the<strong>&nbsp;(+)&nbsp;</strong>button</li><li>Select&nbsp;<strong>Quick Add &amp; Send Message</strong></li><li>Enter the contact’s name and number, then tap&nbsp;<strong>SEND WHATSAPP</strong>&nbsp;(or SMS / Email, depending on your&nbsp;<strong><a href="https://help.privyr.com/knowledge-base/account-preferences/#personalisation">settings</a></strong>)<ul><li><em>You can tap-and-hold on SEND WHATSAPP to change to SMS or email</em></li></ul></li><li>This will immediately send the personalised WhatsApp message</li><li>The contact will be added to your&nbsp;<strong><a href="https://help.privyr.com/knowledge-base/client-list/">client list</a></strong>, and you’ll be able to set a&nbsp;<strong><a href="https://help.privyr.com/knowledge-base/follow-ups/">follow up</a></strong>, add notes, add to your phonebook, or send something else.</li></ol>



<p>The auto-personalised message can be fully customised or selected from one of your existing&nbsp;<a href="https://help.privyr.com/knowledge-base/messages/">message templates</a>. The last sent message will be saved and pre-populated the next time you Quick Add &amp; Send.<br></p>



<h2>Entering a new Contact</h2>

<p>When entering a new client, you&#8217;ll be shown a simplified form with the following fields:</p>



<ul><li><strong>Client Name</strong> is only visible to you within the Privyr app for easy reference and searching, and is never shown to your client. It is usually the same as the contact name in your phonebook. <em>This field is required.</em></li><li><strong>Display Name</strong> is used for auto-personalisation and is shown to your clients on content that you send them, such as in your <strong><a href="https://help.privyr.com/knowledge-base/messages/">messages</a></strong>, <strong><a href="https://help.privyr.com/knowledge-base/files/">files</a></strong>, and <strong><a href="https://help.privyr.com/knowledge-base/pages/">pages</a></strong>. Make sure this is appropriate to be seen by your client. It is usually just the client&#8217;s first name (e.g. &#8216;Katherine&#8217;) but can also be a more formal salutation (e.g. &#8216;Ms. Lim&#8217;) depending on your relationship. <em>This field is optional.</em></li><li><strong>Mobile Number </strong>is the phone number of your contact, and used to enable quick-sending of content via apps like WhatsApp or SMS. <em>This field is optional.</em></li><li><strong>Notes</strong> are for you to remember details about the contact, such as their preferences and requirements. These are private to you, and never shown to your clients. <em>This field is optional.</em></li></ul>



<p>If you wish to add more details, tap on the <strong>MORE FIELDS</strong> button to show the following fields:</p>



<ul><li><strong>WhatsApp Number</strong> is for you to enter a number that the client uses for WhatsApp, if it is different from their mobile number. If left blank, it will be assumed to be the same as their mobile number. <em>This field is optional.</em></li><li><strong>Email Address</strong> is the email of the contact, and is used to enable quick sending of content via email. <em>This field is optional.</em></li></ul>



<p>Once you&#8217;re done, tap the <strong>SAVE</strong> button to create the contact in your Privyr account. You can always edit or delete the contact at any time.</p>



<p>Note that the app will warn you if the contact already exists in your Privyr account, so you won&#8217;t have to worry about duplicates. </p>



<h2>Saving to Phonebook</h2>

<p>You can quickly save a contact from Privyr to your phonebook without having to copy and paste their details. When viewing the client in Privyr, tap on the <strong>Options</strong> menu in the top right of the screen, followed by <strong>Add to Phonebook</strong>.</p>



<p>This is useful when you created a contact in Privyr before adding them to your phonebook, or received a <strong><a href="https://help.privyr.com/knowledge-base/client-details/#new-leads">new lead</a></strong> to your account via your <strong><a href="https://help.privyr.com/knowledge-base/website-integration/">website</a></strong> or <strong><a href="https://help.privyr.com/knowledge-base/facebook-integrations/">Facebook Lead Ads</a></strong> integration.</p>



<p>Note that the app will warn you if the contact already exists in your phonebook, so you won&#8217;t have to worry about duplicates.</p>



<h2>Editing Clients</h2>

<p>When viewing a client in Privyr, you can edit their contact details by tapping the <strong>Options</strong> menu in the top right of the screen, followed by <strong>Edit Client</strong>.</p>



<p>Note that changing the Display Name will also update the name shown on any <strong><a href="https://help.privyr.com/knowledge-base/files/">files</a></strong> or <strong><a href="https://help.privyr.com/knowledge-base/pages/">pages</a></strong> that you previously shared with the contact.</p>



<h2>Deleting Clients</h2>

<p>When viewing a client in Privyr, you can delete their record by tapping the <strong>Options</strong> menu in the top right of the screen, followed by <strong>Delete Client</strong>.</p>



<p>You can also delete multiple clients at a time via the <strong><a href="https://help.privyr.com/knowledge-base/client-list/#bulk-client-actions">bulk actions</a></strong> feature on your client list.</p>



<p>Note that deleting a client will permanently remove them from your Privyr client list, along with any associated data in Privyr. All <a href="https://help.privyr.com/knowledge-base/files/"><strong>file</strong></a> or <strong><a href="https://help.privyr.com/knowledge-base/pages/">page</a></strong> links previously shared with the client will also be made invalid. However, this does not delete or affect any data in your phonebook.</p>

<h2>Introduction</h2>



<p>Privyr has built-in follow-up reminders for every client, making it easy to keep your relationships warm and prevent any leads from falling through the cracks. </p>



<p>Follow-up reminders can be automatically set when you interact with a client, quickly snoozed for days, weeks, or months, and will give you contextual alerts that can be easily acted upon.</p>



<h2>Client Follow Ups</h2>

<p>Every client in Privyr has a follow-up reminder, which is displayed in the Follow Up section when viewing the client. You can set or change the client&#8217;s follow-up by tapping on the Follow Up section and selecting a new date and/or time. </p>



<p>On top of scheduling the follow-up for a day, week, or month later, you can also choose from the following options: </p>



<ul><li><strong>Select custom date</strong> <strong>and time</strong> to specify an exact date and time to follow up.</li><li><strong>Someday</strong> if you want to be reminded of the client in the future, but don&#8217;t have any specific timeframe to get back in touch. The system decide when to remind you of the client.</li><li><strong>No Follow Up</strong> if you don&#8217;t want to get back in touch with them ever again. This is usually appropriate for lost or abandoned leads.</li></ul>



<h2>Follow Up Alerts</h2>

<p>You&#8217;ll receive follow-up alerts via the Privyr app on the date and time that a client&#8217;s follow-up is due. These notifications include the client&#8217;s name, the last thing you sent them, and whether or not they interacted with it (for <strong><a href="https://help.privyr.com/knowledge-base/files/">files</a></strong> and <strong><a href="https://help.privyr.com/knowledge-base/pages/">pages</a></strong> only).</p>



<p>Tap the alert to open the <strong><a href="https://help.privyr.com/knowledge-base/client-details/">client details screen</a></strong> and view more information about them, such as their notes and timeline. From here, you can quickly contact them or <strong><a href="https://help.privyr.com/knowledge-base/quick-responses/">send a quick response</a></strong> to keep your relationship warm and engaged. </p>



<p>Once done, you can snooze the follow-up so that you&#8217;ll be reminded to touch base with the client again in the future.</p>

<p>The <strong>Actions </strong>tab allows you to efficiently engage and follow up with your leads by showing all the actions you need to do for your clients, including<strong> Follow Ups</strong> and <strong><a href="https://help.privyr.com/knowledge-base/account-preferences/#uncontacted-leads">Uncontacted Leads</a></strong>, in a single page. Simply tap on any lead to view their details and quickly perform the appropriate action.</p>

<p>By default, you&#8217;ll see the actions that are <strong>Due Today</strong>, but you can easily change the<strong> Due Date</strong> to <strong>Upcoming </strong>or <strong>Overdue</strong> by tapping on the<strong> Due Today</strong> banner on the upper left-hand corner.</p>

<p>You can apply filters to narrow down or find specific activities based on <strong>Due Date</strong>, <strong>Assigned Team Member</strong>, and<strong> Type of Action </strong>(All Actions, Uncontacted Leads, Follow Ups). </p>

<p> You will also see the number of clients with overdue actions at the bottom of the screen, allowing you to quickly identify which leads or clients need immediate attention because their follow ups or actions are already past due. </p>



<h2>Follow Up Settings</h2>

<p>Whenever you contact a client via one of the contact buttons on the <a href="https://help.privyr.com/knowledge-base/client-details/"><strong>Client Details Screen</strong></a>, or send them <strong><a href="https://help.privyr.com/knowledge-base/content-overview/">content</a></strong> (<a style="font-weight: bold;" href="https://help.privyr.com/knowledge-base/messages/">message</a>/<a style="font-weight: bold;" href="https://help.privyr.com/knowledge-base/files/">file</a>/<a href="https://help.privyr.com/knowledge-base/pages/"><strong>page</strong></a>), their follow-up date and time will be automatically updated based on your settings. </p>



<p>By default, if a client has <strong>no follow-up, or one that is currently due</strong>, their follow-up will be updated to <strong>3 days later</strong> at <strong>8:00 AM</strong>.</p>



<p>You can <strong><a href="https://help.privyr.com/knowledge-base/account-preferences/#follow-ups">change this default setting</a></strong> by going to your <strong>Account</strong> &gt; <strong>Settings</strong> &gt; <strong>Follow Ups</strong>, then selecting the conditions to automatically set the follow-up, and the default follow-up date and time.</p>



<ul><li><strong>Automatically Set Follow Ups</strong>: Specify the condition to update the follow-up</li><li><strong>Default Follow Up Date</strong>: Set how many days ahead the follow-up will be scheduled</li><li><strong>Default Follow Up Time</strong>: Choose the time of day for the follow-up alert</li></ul>



<h2>Updating Follow Ups After Contacting a Client</h2>

<p>When you contact your client via one of the <strong>Contact Buttons</strong> on their <strong><a href="https://help.privyr.com/knowledge-base/client-details/">Client Details Screen</a></strong>, their follow-up date and time will be automatically updated based on your <strong>Follow Up Settings.</strong></p>



<p>You can quickly update the client&#8217;s follow-up by tapping on the Follow Up section and selecting a new date and/or time.</p>



<h2>Updating Follow Ups After Sending Content</h2>

This follow-up date is automatically updated based on your <strong>Follow Up Settings.</strong> </p>



<p>You can quickly update the client&#8217;s follow-up from here by clicking on the follow-up section and selecting a new date and/or time.</p>

<p>You can view and update the Follow Ups of multiple clients at a time via the <strong><a href="https://help.privyr.com/knowledge-base/client-list/#bulk-client-actions">Bulk Actions</a> </strong>feature on your <strong>Client List</strong>. </p>



<p>Just tap and hold on a client to trigger multi-select mode, then select the <strong>Calendar</strong> <strong>Icon</strong> in the footer to view the follow-ups of the selected clients. </p>



<p>You can individually update the follow-up of each client by clicking the <strong>Change</strong> button next to their name, or use the <strong>Set All</strong> option to update all at once.</p>

<p>Create and use <strong>Custom Groups</strong> to help manage and organise your clients, such as by product, interest level, stage, or any other categorization you like. You can create up to 100 custom groups, with unlimited clients per group and multiple groups per client.</p>



<p>Tap on a group to view all clients within it, with the ability to perform <strong><a href="https://help.privyr.com/knowledge-base/client-list/#bulk-client-actions">bulk actions </a></strong>such as sending content, managing groups, or setting follow ups for up to 50 clients at a time. </p>

<h2>Your Groups Tab</h2>

<p>The <strong>Groups</strong> tab on your <strong><a href="https://help.privyr.com/knowledge-base/client-list/">Client List</a></strong> displays the default groups as well as any custom groups you&#8217;ve created. The following default groups will always be displayed at the top of the screen:</p>



<ul><li><strong><a href="https://help.privyr.com/knowledge-base/client-details/#uncontacted-leads">Uncontacted Leads</a></strong> that you haven&#8217;t acted on yet. This list shows the most recently received leads first, with a purple dot highlighting new leads since you last checked the list.</li><li>Clients who <strong>Recently Viewed Content</strong>, which are those who opened one of your <strong><a href="https://help.privyr.com/knowledge-base/files/">file</a></strong> or <strong><a href="https://help.privyr.com/knowledge-base/pages/">page</a></strong> links in the last 7 days. This list will be sorted by the most recently viewed, with a purple dot highlighting new views since you last checked the list.</li></ul>



<p>You can create, manage, and edit up to 100 custom groups, which will be displayed in alphabetical order below the default groups.</p>



<p>Tap on any group to view the members of the group. You can tap on any client to view their <strong><a href="https://help.privyr.com/knowledge-base/client-details/">client details</a></strong>, or tap and hold to select multiple clients and initiate <strong><a href="https://help.privyr.com/knowledge-base/client-list/#bulk-client-actions">bulk actions</a></strong>. </p>



<h2>Creating Groups</h2>



<p>You can create new Groups through the Privyr app or the Privyr web, with the following fields:</p>



<ul><li><strong>Group Name</strong> is the title of the group. Each group must have a unique name.</li><li><strong>Group Color </strong>lets you choose the color of the group label, to visually identify it.</li></ul>



<p>You can create up to a maximum of 100 groups in your account, and can edit or delete them at any time.</p>

<ul><li>Go to the <strong>Clients </strong>tab &gt; <strong>Groups</strong></li><li>Tap the (<strong>+</strong>) button</li><li>Enter the <strong>Group Name </strong>and select the <strong>Group Color</strong></li><li> Tap the <strong>CREATE GROUP </strong>button to save it to your Groups list.  </li></ul>

<h2>Adding Clients to Groups</h2>



<p>Once you create a Group, you’ll be taken to the <strong>Group Details </strong>screen where you can add members to the group. Tap on <strong>ADD GROUP MEMBERS </strong>and select any clients you wish to add to the group.</p>



<p>A group can have unlimited members, and each client can be added to multiple groups at a time.</p>

<p>When viewing your <strong><a href="https://help.privyr.com/knowledge-base/client-list/">client list</a></strong>, the <strong>Groups</strong> that each client is a member of will be displayed below their name. If a client is in multiple groups, the first 3 groups will be shown in alphabetical order, with a plus sign and count to indicate how many more groups the client is a part of.</p>



<p>You can <strong>tap and hold on any client to trigger multi-select mode </strong>and perform <strong><a href="https://help.privyr.com/knowledge-base/client-list/#bulk-client-actions">bulk actions</a></strong> on up to 50 clients at a time, which includes adding or removing multiple clients to/from multiple groups.</p>

<p>When viewing the <strong><a href="https://help.privyr.com/knowledge-base/client-details/">client details</a></strong> screen, you&#8217;ll see a <strong>GROUPS</strong> section that indicates which groups a client is currently a member of. Tap on the <strong>GROUPS</strong> section to add or remove the client from each group, with the option to quickly <strong>Create New</strong> if needed.</p>



<p>The GROUPS section will be hidden if you haven&#8217;t created any groups yet. If the section is hidden, you can still create and add the client to a group via the <strong>Options </strong>menu<strong> &gt; Add to Groups</strong>.</p>

<p>When viewing a custom Group from your <strong>Groups tab</strong>, you can tap on the <strong>Options</strong> menu in the top right of the screen to perform a few actions:</p>



<ul><li><strong>Bulk Actions</strong> to trigger multi-select mode and perform <strong><a href="https://help.privyr.com/knowledge-base/client-list/#bulk-client-actions">bulk actions</a></strong> on up to 50 clients at a time. You can also tap and hold on any client from the list to trigger multi-select mode. Note that the Bulk Actions option will not be shown if the group does not have any members yet.</li><li><strong>Edit Group Details</strong> to change the group name or group color.</li><li><strong>Delete Group</strong> to permanently remove it from your groups list and any associated clients. This will not delete any clients.</li></ul>



<p>Note that you are not able to edit or delete the default <strong>New Leads</strong> or <strong>Recently Active</strong> groups.</p>

<p>To access the Client Groups on the Privyr web, you can easily click your profile photo on the top right corner, then go to <strong>Settings </strong>and select <a href="https://web.privyr.com/account/manage-groups"><strong>Client Groups</strong></a>.</p>



<p>Then, click the three-dotted button (<strong>&#8230;</strong>) next to the <strong>Group Name</strong> to perform a few actions:</p>

<p>Organise your client information more effectively with <strong>Custom Client Fields</strong>. You can set up text, date, and dropdown fields to capture specific details for each client. This provides a more organised way to manage client information beyond <a href="https://help.privyr.com/knowledge-base/client-details/#client-details"><strong>Notes</strong></a> and <strong><a href="https://help.privyr.com/knowledge-base/groups/">Groups</a></strong>.</p>



<ul><li><strong>Text Field</strong>: Capture any custom information, such as preferred meeting location, special interests, and other key information.</li><li><strong>Number Field:</strong> Log numerical client information, such as opportunity size, client budget, order ID, and order size.</li><li><strong>Date Field</strong>: Track important dates, such as contract start dates and renewals.</li><li><strong>Dropdown Options</strong>: Select a predefined option to categorise your clients, such as sales stages, or the type of product/service they are interested in.</li></ul>

<p>Your <strong>Custom Client Fields List</strong> shows all fields that you have created. Tap on a field to view options to edit the field, move its position, hide it from client details, or delete it.</p>

<p>Tap the <strong>+ Add new field </strong>button at the top of your <strong>Custom Fields List</strong> to create a new Custom Field. Select from 3 field types: Text, Date, and Dropdown options.</p>

<h2>Introduction</h2>



<p>You can quickly call up and add notes to multiple clients at a time via the <strong>Bulk</strong> <strong>Calling</strong> feature &#8211; all within one screen. This is a quick and efficient way of engaging with many clients at once, such as if you need to contact several new leads with an introduction or update existing clients on a new product, service, event, or offer.</p>



<p>You can repeat this process as many times as you like to call all of your clients, or just the clients within a specific&nbsp;<strong><a href="https://help.privyr.com/knowledge-base/groups/">Client Group</a></strong>.</p>

<h2>Bulk Calling Clients</h2>

<p>You can select multiple clients and initiate bulk calling from any list of clients, such as when performing <a href="https://help.privyr.com/knowledge-base/client-list/#client-list-filter"><strong>Client List Filter</strong></a> or from a specific <strong><a href="https://help.privyr.com/knowledge-base/groups/">Client Group</a></strong>:</p>



<ol><li>Enable multi-select mode by pressing and holding on any client in your client list <ul><li>Simply tap on&nbsp;<strong>Select First 50&nbsp;</strong>at the top right, or select as many clients as you wish from the list (up to 50 at a time).</li><li>You can also tap-and-hold on Select First 50 for more options, such as selecting the first 10 clients, 25 clients, 50 clients, or unselecting all.</li></ul></li><li>Click the <strong>call icon</strong> to proceed with <strong>Bulk Calling</strong><ul><li>Alternatively, tap on <em>More Actions &gt; Call clients</em> </li></ul></li></ol>



<p>In the <strong>Bulk Calling</strong> screen, you will see a list of your selected clients along with the following options:</p>

<p><em>Note that the Bulk Calling option is only available if you have 3 or more clients in your account, and will not allow you to add or select contacts from your phonebook during the process. Make sure to&nbsp;<strong><a href="https://help.privyr.com/knowledge-base/client-add-edit/">add all recipients to Privyr</a></strong>&nbsp;before bulk calling  them.</em></p>

<p>You can import clients to Privyr and export your Privyr client list to CSV, giving you full flexibility to transfer and manage your data wherever you need it. You can export clients and activities by date range, group, team member assigned, and more. </p>



<h2>Importing Clients to Privyr</h2>



<p>If you only have a few clients to add, you can manually <strong><a href="https://help.privyr.com/knowledge-base/client-add-edit/">create or import them from phonebook</a></strong> via the <strong>(+) </strong>icon on your Client List. You can also connect your Privyr account to lead sources such as Facebook Lead Ads, Google Ads Lead Forms, Website Contact Forms, and Zapier via our <strong><a href="https://help.privyr.com/knowledge-base/integrations/">integrations</a></strong> to automatically add new leads from those sources to your Privyr account. </p>



<p><strong>IMPORTING CLIENTS FROM CSV</strong><br><br>If you have many contacts to add, you can bulk import them from a CSV file into your Privyr account. You&#8217;ll have options to add all imported contacts to a <strong><a href="https://help.privyr.com/knowledge-base/groups/">custom group</a></strong>, and can choose to skip or keep duplicate contacts that already exist in your account.</p>

<p>You can bulk import contacts via the following steps:</p>



<ol><li>In your Privyr app or desktop site, go to your <strong>Account</strong> tab > <strong>Integrations </strong>> <strong>Import/Export Clients</strong> tab</li><li>Tap on <strong>Import Clients from CSV</strong><ul><li><em>Here&#8217;s a direct link: </em><strong><a rel="noreferrer noopener" aria-label="http://www.privyr.com/integrations/import-clients-from-csv (opens in a new tab)" href="http://www.privyr.com/integrations/import-clients-from-csv" target="_blank"><em>www.privyr.com/integrations/import-clients-from-csv</em></a></strong><em> </em></li></ul></li><li>Download the <strong><a rel="noreferrer noopener" aria-label="sample CSV template (opens in a new tab)" href="https://s3.privyr.com/assets/import-clients/privyr-import-clients-template.csv" target="_blank">sample CSV template</a></strong> and follow the columns and formatting to enter your contacts. Please note that there is a limit of 5,000 contacts per upload.<ul><li><em>For more details on each of the fields and how they are used, check out our guide on</em><strong><a href="https://help.privyr.com/knowledge-base/client-add-edit/#entering-a-new-contact"><em> entering a new contact</em></a></strong></li></ul></li><li><strong>Upload</strong> your CSV, XLS, or XLSX file, then map the columns from your spreadsheet to the corresponding Privyr client field. Click on <strong>Continue </strong>to preview your data.<ul><li><em>For more details on each of the fields and how they are used, check out our guide on</em><strong><a href="https://help.privyr.com/knowledge-base/client-add-edit/#entering-a-new-contact"><em> entering a new contact</em></a></strong></li><li><em>You can also download the </em><strong><a rel="noreferrer noopener" href="https://s3.privyr.com/assets/import-clients/privyr-import-clients-template.csv" target="_blank"><em>sample CSV template</em></a></strong><em> and follow the columns and formatting. The columns in the sample sheet map exactly to Privyr&#8217;s client fields.</em></li><li><em>Please note that there is a limit of 5,000 contacts per upload.</em></li></ul></li><li>Click on <strong>Continue </strong>to set your import preferences, and import your contacts:<ul><li><strong>Date Added: </strong>This affects where they appear when sorting your client lists by &#8216;Date Added&#8217;. You may click on <strong>Set it to now</strong> to set the date added to the actual time you&#8217;re importing the CSV</li><li><strong>Assign to Team Member:</strong> All imported contacts can be assigned to the selected team member, left unassigned, or distributed according to your existing lead assignment rules.</li><li><strong>Add to Custom Group:</strong> All imported contacts will be automatically added to the selected group. Please ensure that the group already exists before uploading.</li><li><strong>Mark as Uncontacted:</strong> Choose whether to mark all imported contacts as &#8216;Uncontacted&#8217; or not</li><li><strong>Skip Duplicated Contacts:</strong> You can choose to skip importing duplicate contacts (whose phone number or email address matches existing clients in your Privyr account) or continue to import duplicates.</li></ul></li><li>Once done, click on <strong>Import</strong>. You&#8217;ll be able to immediately view and access the imported contacts on your <strong><a href="https://help.privyr.com/knowledge-base/client-list/">client list</a></strong>. <ul><li><em>If there were any contacts that were not imported due to formatting, deduplication, or other issues, you&#8217;ll be prompted to download the list of skipped contacts which will include the reason for skipping in the last column.</em></li></ul></li></ol>



<h2>Exporting your Client List</h2>



<p>You can export your client list and activities from Privyr to CSV format to view and edit the data in spreadsheet applications like Excel or Google Sheets. </p>



<p>You&#8217;ll have options to export all clients and activities, or just those that match criteria such as by date range, group, or team member assigned. The data will be sent to the registered email address on your Privyr account, with the option to add additional email recipients.</p>

<p>The data will be sent as a CSV file to the registered email address on your Privyr account, from <strong>alerts-noreply@privyr.com</strong> (please make sure that you&#8217;re not blocking emails from this address).</p>
