<h2>Setting up WhatsApp Campaigns</h2>



<p>To start running WhatsApp Campaigns, simply connect your WhatsApp Business number to Privyr through your Facebook account. The setup process only takes around 5 to 10 minutes.</p>

<h2>Creating a WhatsApp Campaign</h2>



<p>To create a campaign, your <strong>WhatsApp Business phone number</strong> must be connected to Privyr. If you haven&#8217;t connected it yet, please follow the steps for <strong><a href="#setting-up-whatsapp-campaigns">Setting up WhatsApp Campaigns</a></strong>.</p>



<p>Once your setup is complete, you can create a campaign to bulk send messages to your clients. Here are the steps:</p>



<ol><li><strong><span style="text-decoration: underline;">Access the Campaigns Page</span></strong><ul><li>On the&nbsp;<a rel="noreferrer noopener" href="https://www.privyr.com/login" target="_blank"><strong>Web version of Privyr</strong></a>, go to the<strong> <a href="https://web.privyr.com/automations/whatsapp-campaign">WhatsApp Campaigns setup page</a></strong>&nbsp;under your&nbsp;<strong>Automations tab &gt; WhatsApp </strong></li></ul></li><li><strong><span style="text-decoration: underline;">Select WhatsApp Campaigns</span></strong></li><li><strong><span style="text-decoration: underline;">Create a New Campaign</span></strong><ul><li>Click on <strong>&#8220;+ Create Campaign&#8221;</strong></li></ul></li><li><strong><span style="text-decoration: underline;">Configure Your Campaign</span></strong><ul><li><strong>Campaign Name</strong>: Give your campaign a descriptive title</li><li><strong>Sending From</strong>: Select the WhatsApp Business number you want to send the message from</li><li><strong>Recipients</strong>: Choose to send to <strong>All Clients</strong> or filter for <strong>Clients matching specific criteria</strong></li><li><strong>Message Template:</strong> Select an existing message template, or create a new one.<ol><li><em>If you are creating a new message template, you must first submit it to WhatsApp for approval before the campaign can go live. Approval may take up to 24 hours.</em></li><li><em>You can use </em><strong><em>@clientName</em></strong><em> in the message, which will automatically personalise the message with your lead&#8217;s name</em>.</li><li><em> You can also attach an image to your message template, which will be sent to your leads together with the message. </em></li></ol></li></ul></li><li><strong><span style="text-decoration: underline;">Save or Publish Your Campaign</span></strong><ul><li><strong>Save Draft: </strong>If your message template has not been approved yet, or if you wish to publish your campaign at a later time, you can save it as a draft.</li><li><strong>Review &amp; Send: </strong>When you are ready to publish your campaign, click <strong>Review &amp; Send</strong>, then <strong>Proceed</strong> to publish. Your message will be sent to all recipients with a valid WhatsApp number.<ul><li>To send your campaign, you must have enough automation credits for all recipients.</li><li>Credits are only used for messages that are successfully sent. Failed messages do not consume credits.</li></ul></li></ul></li></ol>

<p><em>Note that each successfully sent automated message uses </em><strong><em>1 automation credit</em></strong><em>, which is charged based on your </em><strong><em><a rel="noreferrer noopener" aria-label=" (opens in a new tab)" href="https://app.privyr.com/subscription/manage" target="_blank">subscription plan</a></em></strong><em>. You will NOT get charged for messages that you manually send and receive on the WhatsApp Business app</em>.</p>



<h2>Monitoring your Campaign Performance</h2>



<p>After your campaign is published, you can track its performance and see how each recipient was handled. Click on a campaign in the <strong>Campaigns List</strong> to view its details.</p>

<ol><li><strong>Campaign Overview</strong><br>The overview shows you a summary of your campaign performance. You can click to view the recipients in each category.<ul><li><strong>Recipients</strong>: All clients you included when setting up this specific campaign</li><li><strong>Sent</strong>: Clients who successfully received the message (these messages consume automation credits, which are charged based on your <a rel="noreferrer noopener" aria-label="subscription plan (opens in a new tab)" href="https://app.privyr.com/subscription/manage" target="_blank">subscription plan</a>)</li><li><strong>Read</strong>: Clients who opened the message (this only counts recipients who have Read Receipts enabled)</li><li><strong>Pending</strong>: Clients whose messages are still being sent</li><li><strong>Failed</strong>: Clients whose messages could not be delivered</li><li><strong><a href="https://help.privyr.com/knowledge-base/whatsapp-campaigns/#unsubscribed-whatsapp-users">Unsubscribed</a></strong>: Clients who opted out of receiving messages. <ul><li>Privyr’s WhatsApp Campaigns support unsubscribe functionality and automatically handle it so that recipients who opt out will no longer receive future marketing messages from you. You don’t need to take any action as Privyr manages this process for you automatically.  </li></ul></li></ul></li><li><strong>Message Template</strong><br>Preview the WhatsApp Template that was sent, and check its current status</li><li><strong>Sent From</strong><br>See which WhatsApp Business number was used to send the campaign, along with its status and quality rating</li><li> <strong>Retry sending to failed recipients</strong><br>Retry sending the message to failed recipients or clients whose messages could not be delivered</li></ol>

<h2>Unsubscribed WhatsApp Users</h2>



<p>To protect your account, WhatsApp Campaigns in Privyr includes an automatic unsubscribe functionality.</p>



<p>Recipients who opt out will no longer receive future marketing messages from you. You won’t need to take any action if a recipient unsubscribes as Privyr manages this process for you automatically.</p>



<p>This is a WhatsApp safeguard that helps you:</p>



<ul><li>Stay compliant with WhatsApp&#8217;s Terms of Service</li><li>Protect the quality rating of your WhatsApp Business number</li><li>Improve your overall WhatsApp Campaign efficiency</li></ul>



<p>When WhatsApp messages are sent to your recipients through Privyr&#8217;s WhatsApp Campaigns: </p>



<ul><li>Recipients will see an info (<strong>ⓘ</strong>) icon next to the message in WhatsApp.</li><li>By tapping the  (<strong>ⓘ</strong>) button, they can choose options such as <strong>Interested </strong>or<strong> Not Interested</strong>, and then choose to <strong>Stop offers and announcements from {business_name}</strong></li></ul>

<ul><li>If your recipients choose to <strong>Stop offers and announcements from {business_name}</strong>, they are automatically unsubscribed from your future marketing campaigns (unless they opt back in), which is handled by both Privyr and WhatsApp.</li></ul>



<p>Privyr automatically manages unsubscribed recipients for you:</p>



<ul><li><strong>Viewing Unsubscribed Recipients</strong><br>You’ll see an <strong>UNSUBSCRIBED </strong>category in the<strong> Campaign Overview</strong> section. You can click <strong>UNSUBSCRIBED </strong>to view which recipients opted out.</li></ul>

<ul><li><strong>Automatic Exclusion from Future WhatsApp Campaigns</strong> <br>Any recipient who previously unsubscribed will be automatically excluded from future WhatsApp Campaigns. Privyr will not attempt to deliver the message if we already know the recipient opted out. </li></ul>



<ul><li><strong>Unsubscribing only applies to marketing messages or campaigns </strong><br>Even if they unsubscribe, you can still message and respond to them manually via the WhatsApp Business mobile or desktop app. This ensures you can maintain relationships with interested leads while respecting marketing message preferences.</li></ul>

<h2>Connecting your WhatsApp Business Number to Privyr</h2>



<p class="wp-block-ht-blocks-messages wp-block-hb-message wp-block-hb-message--withicon is-style-info">To set up and use WhatsApp Automations, you need: a <strong><a rel="noreferrer noopener" aria-label=" (opens in a new tab)" href="https://app.privyr.com/subscription/manage" target="_blank">Privyr subscription</a></strong>, a <strong><a rel="noreferrer noopener" aria-label="Facebook account (opens in a new tab)" href="https://www.facebook.com/" target="_blank">Facebook account</a></strong>, and a phone number logged into the <strong><a rel="noreferrer noopener" aria-label=" (opens in a new tab)" href="https://business.whatsapp.com/products/business-app" target="_blank">WhatsApp Business App</a></strong>.</p>

<p>Connecting your WhatsApp Business number to Privyr using your Facebook account takes around 5 to 10 minutes. Here are the steps:</p>



<ol><li>Select <strong>WhatsApp Business App</strong><ul><li>If you&#8217;re using the regular<strong> WhatsApp App</strong>, you&#8217;ll need to convert your phone number to a WhatsApp Business number by downloading the WhatsApp Business app on your phone and logging in with your existing number.</li><li>If you&#8217;re using <strong>WhatsApp Business API</strong>, that number will not be compatible with Privyr. Please use a number that is logged into WhatsApp Business mobile app instead.</li></ul></li><li>Click <strong>Login with Facebook</strong> and sign in with a Facebook profile that has access to Meta Business Manager (if you have an existing Business Manager account)</li><li>When prompted to <strong>Connect your account to Privyr Pte Ltd.</strong>, click <strong>Get Started</strong></li><li>At the <strong>Fill in your business information</strong> screen, select or create a Business Portfolio, then click <strong>Next</strong></li><li>When prompted to <strong>Select your setup</strong>, choose <strong>Connect your existing WhatsApp Business app</strong>, then click <strong>Next</strong><ul><li><em><strong>Note:</strong></em> <em>The auto-responder only works with existing WhatsApp Business phone numbers. Selecting a new number here is not supported.</em></li></ul></li><li>When prompted to <strong>Enter your WhatsApp Business phone number</strong>, fill in your number then click <strong>Next</strong>. You will receive a WhatsApp message from <strong>Facebook Business</strong>, prompting you to <strong>Scan QR code</strong>. Scan the code to grant Privyr permission to send WhatsApp messages via your account.</li><li>Once complete, you will see that <strong>your account is connected to Privyr</strong>. Click <strong>Finish</strong> to return to Privyr. </li></ol>

<h3>Limitations After Enabling Automations For WhatsApp Business</h3>



<p>Once your account is connected for automations through WhatsApp Coexistence, certain features in your WhatsApp Business app will be disabled. These changes are part of <a rel="noreferrer noopener" aria-label="WhatsApp's built-in safeguards (opens in a new tab)" href="https://faq.whatsapp.com/1655751878365653/?helpref=uf_share" target="_blank">WhatsApp&#8217;s built-in safeguards</a> to protect your account, while ensuring automated sending works reliably.</p>



<p>You will gain access to WhatsApp-approved automated sending tools, such as <a href="https://help.privyr.com/knowledge-base/whatsapp-campaigns/" target="_blank" rel="noreferrer noopener" aria-label="WhatsApp Campaigns (opens in a new tab)">WhatsApp Campaigns</a>. However, some features will no longer be available, including sending WhatsApp Broadcast Lists and editing previously sent messages.</p>



<p>These limitations are imposed by WhatsApp and are expected when an account enables automations.</p>



<p>If you disconnect your number from WhatsApp Automations, these functionalities will be re-enabled.</p>



<h2>Disconnecting your WhatsApp Business Number from Privyr</h2>



<p>To disconnect your number, open the <strong>WhatsApp Business App</strong> on your phone and follow these steps:</p>



<ol><li>Tap on <strong>&#8216;&#8230;&#8217;</strong> options</li><li>Go to your <strong>Settings</strong></li><li>Select <strong>Account</strong></li><li>Select <strong>Business Platform</strong></li><li>Tap on <strong>Privyr Pte. Ltd</strong></li><li>Tap on <strong>Next</strong> to disconnect your number</li></ol>



<p>Disconnecting can take up to 5 minutes. You can go to the <strong><a rel="noreferrer noopener" href="https://web.privyr.com/automations/whatsapp-responder" target="_blank">WhatsApp Auto-Responder</a> </strong>or<strong> <a rel="noreferrer noopener" aria-label=" (opens in a new tab)" href="https://web.privyr.com/automations/whatsapp-campaign" target="_blank">Campaigns setup page</a></strong> to confirm that you are no longer connected to Privyr. You can set it up again using another number if you wish.</p>

<p>If you are having trouble connecting your WhatsApp Business number to Privyr, please check that you fulfil the following requirements.</p>

<ul><li>You are connecting a phone number that is logged in to the <strong><a rel="noreferrer noopener" aria-label="WhatsApp Business (opens in a new tab)" href="https://business.whatsapp.com/products/business-app" target="_blank">WhatsApp Business mobile app</a></strong>, and NOT the regular personal WhatsApp app or WhatsApp Business API</li><li>You are using WhatsApp Business app version&nbsp;<strong>2.24.17</strong>&nbsp;or higher</li><li>Your WhatsApp phone number&#8217;s country code is supported. View the list of <a href="https://help.privyr.com/knowledge-base/whatsapp-auto-responder/#unsupported-countries"><strong>unsupported countries</strong></a> below.</li><li>Your phone number is not banned on WhatsApp</li></ul>



<h2>Unsupported Countries</h2>



<p>Meta currently supports automations through WhatsApp Business numbers in most countries. However, some countries and regions are not supported by WhatsApp yet. You can view Meta&#8217;s latest list of unsupported countries <a rel="noreferrer noopener" href="https://developers.facebook.com/docs/whatsapp/embedded-signup/custom-flows/onboarding-business-app-users/#unsupported-countries" target="_blank"><strong>here</strong></a>. </p>



<p>WhatsApp Business account numbers with country codes from the following countries are not supported as of 23 October 2025:</p>



<ul><li>Nigeria</li><li>South Africa</li></ul>



<p>If your country is not supported yet, you can try connecting a different WhatsApp number from a supported country.</p>

<h2><strong>Setting Up WhatsApp Contact Import</strong></h2>



<p>To start using WhatsApp Contact Import, simply connect your WhatsApp Business number to Privyr through your Facebook account. The setup process only takes around 5 to 10 minutes.</p>

<p>Once you’ve completed the steps, you can decide how leads should be created in Privyr for each WhatsApp Business number:</p>



<p><strong>• Inbound Messages:</strong> Create a new lead whenever someone messages your WhatsApp number for the first time.</p>



<p><strong>• Outbound Messages:</strong> Create a new lead whenever you send a message to someone new from your WhatsApp number.</p>



<p><em>Note that no lead will be created if the phone number matches an existing client in your Privyr account</em>.</p>

<h2><strong>Enabling WhatsApp Monitoring for Your Account</strong></h2>

<h2><strong>Connecting Your Team’s WhatsApp Numbers</strong></h2>



<p>Once enabled, you can start connecting your team members’ WhatsApp Business numbers, which generally only takes a few minutes. To do so:</p>



<ol><li>On the Web version of Privyr, go to your <strong>Automations </strong>tab.</li><li>Navigate to the <strong>WhatsApp Automations</strong> section.</li><li>Find <strong>WhatsApp Chat Monitoring</strong> and click <strong>Configure</strong>.</li><li>Click <strong>Add New Number</strong>.</li><li>Choose <strong>WhatsApp Business App </strong>in the pop-up.</li><li>Click <strong>Login with Facebook </strong>and follow the on-screen instructions.</li><li>Your team member will need to:<ul><li>Scan a QR code to verify the connection.</li><li>Accept and grant permissions to share their client conversations with your Privyr account.</li></ul></li></ol>



<p><strong>Note:</strong> This is an official WhatsApp integration. Team members must be using the WhatsApp Business app (not the regular WhatsApp app) to connect their number to WhatsApp Monitoring.</p>



<h3><strong>Verifying successful connection</strong></h3>



<p>Once connected to Privyr, team members can verify the connection in their WhatsApp Business App:</p>



<ol><li>Open <strong>WhatsApp Business</strong> on their phone.</li><li>Go to <strong>Settings &gt; Account &gt; Business Platform</strong>.</li><li>They’ll see <strong>Privyr Pte. Ltd.</strong> listed, confirming the official integration.</li></ol>



<p>After connecting, you’ll see the team member’s number listed in your <strong>WhatsApp Monitoring</strong> setup page. Privyr will start tracking conversations for all numbers listed on this page, as long as they are linked to leads in your account.</p>



<h2><strong>Viewing WhatsApp Conversations</strong></h2>



<p>There are two ways to view your team’s WhatsApp conversations directly in Privyr:</p>



<ol><li>View on any Client Details page</li><li>View on Consolidated Activity Timeline</li></ol>



<h3><strong>Viewing on Client Details</strong></h3>



<p>To view your team’s WhatsApp chats with a specific client by:</p>



<ol><li>Open any client on Privyr web.</li><li>Tap the <strong>View WhatsApp Chats </strong>button.</li></ol>

<p>A pop-up will appear, allowing you to scroll through the conversation as it appeared in WhatsApp. The chat log will show all messages since the date the WhatsApp number was connected to Privyr.</p>



<p><strong>If multiple team members are talking to the same client:</strong></p>



<ul><li>You’ll first see a summary showing which team members have chatted with this client.</li><li>You can click on any team member’s number to view their conversation history with the client.</li></ul>

<ol><li>Go to your <strong>Activity Timeline</strong> on Privyr web.</li><li>You’ll see WhatsApp Conversations listed alongside other follow-up activities.</li><li>Apply <strong>Filters</strong> to view only <strong>WhatsApp Conversations</strong>. You can also filter conversations by date or team member.</li><li>Each timeline entry will show:<ul><li>The number of messages exchanged in that session</li><li>Who initiated the conversation</li><li>Whether the lead or your team member responded</li></ul></li></ol>



<p>This gives you a complete overview of all WhatsApp activity across your entire team and client base.</p>



<h2><strong>Which WhatsApp chats are tracked</strong></h2>



<p>Once a team member’s WhatsApp Business number is connected to Privyr, chats are automatically logged only when the phone number is linked to an existing lead in Privyr.</p>



<p>This prevents your team member’s personal conversations (with family members or personal contacts) from being accessed through Privyr.</p>



<p>If a WhatsApp conversation isn’t linked to a lead, the chat will not be logged or visible in Privyr, ensuring your team’s privacy.</p>



<h3><strong>Tracking All Conversations</strong></h3>



<p>If your team uses dedicated business numbers, and you want all leads from WhatsApp to be tracked automatically, you can enable our <a href="https://help.privyr.com/knowledge-base/whatsapp-contact-import/"><strong>Automatic WhatsApp Contact Import</strong></a> feature.</p>



<p>This will automatically create a new lead in Privyr whenever a new WhatsApp conversation is initiated by you or a prospect.</p>

<p>You can set up multi-step WhatsApp Sequences to <strong>automatically engage and follow up with new or existing leads</strong>.</p>



<p>These sequences can send multiple messages from your WhatsApp Business number to keep your leads engaged across days, weeks, or months.</p>



<p>WhatsApp Sequences can be set to automatically stop once a lead responds, or when you take over the conversation in the WhatsApp Business app. This ensures you won’t accidentally over-message a lead who’s actively chatting with you.</p>

<p>As each step is due, Privyr automatically sends the WhatsApp message to your leads. Then, it automatically moves the client to the next sequence step and starts counting down to the next follow-up.</p>

<p>You can create multiple Automated WhatsApp Sequences to use in different situations, such as:</p>



<ul><li>A <strong>Default Introduction Sequence</strong> to engage and follow up with new leads</li><li>A <strong>Post-Meetup Sequence</strong> for leads who attended a meeting with you</li><li>A <strong>Post-Purchase Sequence</strong> to check in with leads who converted</li><li>A <strong>Quarterly Catch-Up Sequence</strong> to stay in touch with existing clients or leads who are not ready to buy at the moment</li></ul>

<p>Your <strong>Sequences List </strong>shows all the sequences you’ve created or have access to. It also displays the description, step summary, and the number of clients that are currently in it. You can tap on any sequence to view more details or edit it.</p>

<h2><strong>WhatsApp Sequence Details</strong></h2>



<p>You can tap on any sequence in your list to view more details. Here’s a breakdown of the details screen:</p>

<ul><li><strong>Options</strong>: Tap on the Options button in the top right corner to edit the sequence title and description, create a copy, or delete it.</li><li><strong>Status</strong>: Tap on the status dropdown to toggle the sequence between <em>Active</em> and <em>Paused</em>. Pausing a sequence will pause all clients at their current steps, and all automated messages and alerts will be paused.</li><li><strong>Client enrolment lists</strong>: View the list of clients that are currently in the sequence, have completed it, or were removed before completion.</li><li><strong>Sequence steps:</strong> This displays all steps in the sequence. Tap on the “<strong>⋮</strong>” icon to reorder, edit, or delete a step.</li><li><strong>Auto-Remove Clients:</strong> This setting allows you to automatically remove clients from the automated sequence once they’re actively chatting with you.</li><li><strong>Add step:</strong> Button to add a new step to the sequence, such as an automated WhatsApp message or a time delay.</li><li><strong>Add Clients to Sequence:</strong> This button lets you select and add clients to the Automated WhatsApp Sequence.</li></ul>



<h2><strong>Creating Automated WhatsApp Sequences</strong></h2>



<p>To create an Automated WhatsApp Sequence, your WhatsApp Business phone number must be connected to Privyr. If you have not set up the connection yet, please follow the guide on <a href="https://help.privyr.com/knowledge-base/whatsapp-auto-responder/#connecting-your-whatsapp-business-number-to-privyr">Connecting your WhatsApp Business number to Privyr</a>.</p>



<p>Once you’ve connected your WhatsApp Business number, you can set up your WhatsApp Sequence to start following up automatically:</p>



<ol><li>On the Privyr mobile app, go to the <strong>Content </strong>tab.<ol><li>Here’s the direct link on the Privyr web: https://www.privyr.com/login</li></ol></li><li>Tap on the <strong>Sequences </strong>tab</li><li>Tap on the <strong>(+) to create a new Sequence</strong></li><li>Select <strong>Automated WhatsApp Sequence</strong></li><li>Select the <strong>WhatsApp Business Number </strong>you’d like to use to send the automatic WhatsApp follow-ups</li><li>Enter the <strong>Sequence Title</strong></li><li>Enter a <strong>Description </strong>about the main goal or use case of your sequence</li><li>Click <strong>CREATE SEQUENCE</strong></li><li>Once created, you can start adding steps to your Sequence by clicking on<strong> + ADD STEP</strong></li><li>Select<strong> Automatic WhatsApp Message</strong></li><li>You can select an existing approved WhatsApp message template or tap on<strong> (+) </strong>to create a new WhatsApp message template</li><li>Customise the message you want to use for this step<ol><li><em>You can use</em><strong><em> @clientName</em></strong><em> in this message, which is auto-personalised with your lead’s name during sending</em></li><li><em>You can also add an image, which will be attached when the automated WhatsApp message is sent to your lead(s)</em></li></ol></li><li>Click on<strong> SUBMIT FOR APPROVAL </strong>and select the message as the next step<ol><li><em>The message template will be submitted to WhatsApp for approval, which usually takes a few minutes up to 24 hours for your first few templates.</em></li></ol></li><li>You can add further steps where necessary, such as:<ol><li><strong><em>Time Delay: </em></strong><em>Specify the number of hours or days to wait before the next step starts. This is useful for spacing out your automated follow-ups or giving clients time to respond.</em></li><li><strong><em>Automatic WhatsApp Message:</em></strong><em> Add another automated WhatsApp follow-up that you’d like to send to the lead</em></li><li><em>Once the steps have been created, you can tap on the “⋮” icon at each step to reorder the steps, edit them, or delete them.</em></li></ol></li><li>Click on<strong> Activate Sequence&nbsp;</strong><ol><li>Review how many automation credits will be used for each client added to the Automated WhatsApp Sequence, then tap on <strong>Activate Sequence</strong></li><li><em>Credits will only be used for WhatsApp messages that are successfully sent.</em></li></ol></li><li>That’s it! You can then set up Lead Automations Rules to automatically add new leads to the appropriate Automated WhatsApp Sequence or manually add them to an Automated WhatsApp Sequence.</li></ol>

<p>This Automated WhatsApp Sequence will be used to automatically send WhatsApp messages to all new leads received via your <a href="https://help.privyr.com/knowledge-base/integrations/">integrations</a> once the message template gets approved by Meta. Then, it automatically moves the client to the next step of the sequence and starts counting down to the next follow-up.</p>



<p>You can submit a test lead on your connected lead source(s) to ensure it is working as intended.</p>



<p><em>Note: Each </em><strong><em>successfully sent</em></strong><em> automated message uses 1 automation credit, which is charged based on your </em><a href="https://app.privyr.com/subscription/manage"><em>Privyr subscription plan</em></a><em>. You will NOT get charged for messages that you manually send and receive on the WhatsApp Business app.</em></p>



<h3><strong>Auto-Remove Clients from the Automated WhatsApp Sequence</strong></h3>



<p>You can configure your settings to automatically remove clients from an automated sequence once they respond to you or once you manually message them on WhatsApp.</p>



<p>This ensures they don’t continue receiving automated messages unnecessarily, while preventing duplicate communications.</p>



<p>In Privyr, sequences can automatically stop for leads that meet one or both of the following conditions:</p>



<ul><li><strong>Client replies to user on WhatsApp:</strong> If a client responds to any of your messages on WhatsApp, they will be removed from the sequence. Once a real conversation begins, the automation stops, so you can continue the interaction manually.</li><li><strong>You manually message clients on WhatsApp: </strong>If you send a message to the client manually via WhatsApp, they will also be removed from the sequence. This prevents the client from receiving unnecessary follow-ups when you are already communicating with them directly.</li></ul>



<p>You can enable one or both of these options depending on your preferences. For example:</p>



<ul><li>Enable both options if you want automation to stop as soon as any two-way interaction happens.</li><li>Enable only the client-reply option if you still want automated follow-ups to continue until the client responds.</li></ul>

<h2><strong>Viewing your Automated WhatsApp Sequence History</strong></h2>



<p>When viewing a WhatsApp Sequence, you can track the send history of each step. Simply click on the three-dotted (<strong>⋮</strong>) icon at the top right corner of the message step. Then, click on ‘<strong>View Sent Message History</strong>’.</p>



<p>You’ll see all the leads that completed this step, along with the following details:</p>



<ul><li>WhatsApp Sent Date</li><li>Recipient number</li><li>Privyr Status, which indicates whether Privyr has attempted to send the message</li><li>WhatsApp Status, which indicates whether the messages was delivered successfully by WhatsApp<ul><li>Sending: Message is still being delivered on WhatsApp’s end</li><li>Sent / Delivered / Read: Message was successfully sent on WhatsApp, with delivery and read status shown if available</li><li>Failed: WhatsApp could not deliver the message (e.g. no valid WhatsApp account found)</li></ul></li><li>Client Details</li></ul>



<p>This list will only show leads that were successfully messaged through this automation. Leads that weren’t messaged successfully will not appear in this list. Click on any lead to view their full details.</p>

<h2><strong>How to set up Lead Automation Rules for Automated WhatsApp Sequence</strong></h2>



<p>You can configure Privyr to automatically add leads to an Automated WhatsApp Sequence based on the lead source/details. When a new lead comes in and matches specific criteria, Privyr automatically adds them to the right sequence based on these rules.</p>



<p>Lead Automation Rules apply to new leads received across all your <a href="https://help.privyr.com/knowledge-base/integrations/">lead sources</a>, such as your website, Facebook Lead Ads, Google Ad Lead Forms, and other integrations like Zapier. You can also create lead automation rules with advanced criteria to automatically add leads to an Automated WhatsApp Sequence based on specific criteria, such as by Facebook Page, Facebook Lead Form, or Custom Fields.</p>



<p>When viewing a <a href="https://help.privyr.com/knowledge-base/privyr-sequences/"><strong>Follow Up Sequence</strong></a>, you’ll see this pink button to ‘<strong>ADD AUTOMATED TRIGGERS</strong>’. This lets you create lead automation rules to automatically add new leads to the sequence.&nbsp;</p>



<p>Tap on<strong> + ADD NEW RULE</strong>, then select the criteria to define what type of leads should be added to the sequence. You can create different rules based on the lead source, custom field values, and more.</p>



<p>Next, select which sequence those leads should be added to &#8211; this is automatically populated from the sequence you started on.<strong> </strong><a href="https://help.privyr.com/knowledge-base/teams/#lead-automation-rules"><strong>If you’re in a team, you can also select who the lead gets assigned to, and customise different sequences for each team member</strong></a>.</p>



<p>Once you’re done, click<strong> CREATE RULE</strong> to save. You’ll be redirected to your <strong>Lead Automation Rules</strong> list, where you can create as many rules as you need.&nbsp;</p>

<p>Please note that rules run in order, so when you have more than one rule, only the first matching rule will apply to a lead.</p>



<p>When you go back to your <strong>Content </strong>&gt; <strong>Sequences </strong>tab, you’ll see a pink ‘<strong>Automated Triggers</strong>’ label on sequences that have matching lead automation rules. When you click to view that sequence, you’ll see the number of automated triggers linked to it, and can click to view and edit those matching rules.</p>

<h2><strong>Manually Adding Clients to an Automated WhatsApp Sequence</strong></h2>



<p>There are several ways to manually add your clients to an Automated WhatsApp Sequence.</p>



<p>When viewing the Automated WhatsApp Sequence, you can tap on <strong>ADD CLIENTS TO SEQUENCE </strong>to filter your clients and manually add them to the sequence.</p>

<p>In the overview tab of your client details screen, you will see your client’s Sequences Overview. Tap on it to add your client to a sequence. You can also add them by tapping on <strong><em>Options </em></strong><em>&gt;</em><strong><em> Add to Sequence</em></strong>.</p>

<p>You can also add clients to a sequence in bulk from your client list or client search results screen. Tap and hold on any client to trigger multi-select mode and perform bulk actions. You can select up to 50 clients at a time, then tap on the sequences icon to add them to the selected sequence.</p>

<h2><strong>Can’t Connect WhatsApp Business Account to Privyr</strong></h2>



<h4><strong>ERROR: ‘YOUR WHATSAPP ACCOUNT IS CURRENTLY DISABLED’</strong></h4>



<p>If you see the error message “Your WhatsApp account is currently disabled.” when trying to connect your WhatsApp Business account to Privyr, this usually means that your WhatsApp number is not currently logged in to the WhatsApp Business mobile app on your phone.</p>



<p>Meta requires your WhatsApp Business number to be logged in and active on the WhatsApp Business app before it can be connected to Privyr.​</p>



<p>To fix this:</p>



<ol><li>Open the <strong>WhatsApp Business</strong> mobile app on your phone and ensure your number is logged in.</li><li>Once logged in, return to Privyr and try connecting your WhatsApp Business account again.</li><li>During setup, make sure to select <strong>“Connect your existing WhatsApp Business App”</strong> and enter your WhatsApp Business phone number when prompted by Facebook.</li></ol>

<h4><strong>ERROR: ‘THIS FEATURE ISN’T AVAILABLE IN YOUR CURRENT LOCATION.’</strong></h4>



<p>Meta currently supports automations for WhatsApp Business numbers in most countries. However, some countries and regions are not supported yet. You can view Meta’s latest list of unsupported countries <a href="https://developers.facebook.com/docs/whatsapp/embedded-signup/custom-flows/onboarding-business-app-users/#unsupported-countries">here</a>.</p>



<p>WhatsApp Business account numbers with country codes from the following countries are not supported as of 23 October 2025:</p>



<ul><li>Nigeria</li><li>South Africa</li></ul>



<p>If your country is not supported yet, you can try connecting a different WhatsApp Business number from a supported country.</p>



<h4><strong>ERROR: ‘MISSING TWO-FACTOR AUTHENTICATION.’</strong></h4>



<p>Meta may require you to enable two-factor authentication (2FA) in your Facebook Business Manager settings to connect your WhatsApp Business account to Privyr (and any other platforms that supports Coexistence).</p>



<p>To fix this, <a href="https://www.facebook.com/business/help/280940009201586?id=199156230960298">kindly enable your 2FA settings in your Facebook Business Manager by following these tutorial shared by Meta on your Facebook Business Manager</a>.</p>



<h4><strong>ERROR: ‘WABA CONNECTION MODE MUST BE SET TO COEXISTENCE FOR THIS OPERATION.’</strong></h4>



<p>If you see this error message, it’s likely that your WhatsApp number is not currently logged in on the WhatsApp Business mobile app yet.</p>



<p>Make sure your number is active and logged in on the WhatsApp Business app (not the personal WhatsApp app or WhatsApp Business API), as this is required by Meta.&nbsp;</p>



<p>Here’s the list of requirements to ensure that you can successfully connect your WhatsApp Business number to Privyr:</p>



<ul><li>You are connecting a phone number that is logged in on the WhatsApp Business mobile app, and NOT the regular personal WhatsApp app or WhatsApp Business API</li><li>You are using WhatsApp Business app version 2.24.17 or higher</li><li>Your WhatsApp phone number’s country code is supported. View the list of unsupported countries <a href="https://developers.facebook.com/docs/whatsapp/embedded-signup/custom-flows/onboarding-business-app-users/#unsupported-countries">here</a>.</li><li>Your phone number is not banned on WhatsApp</li></ul>



<h4><strong>ERROR: ‘YOUR PHONE NUMBER ISN&#8217;T ELIGIBLE TO CONNECT TO THE WHATSAPP BUSINESS PLATFORM. MORE ACTIVITY ON THE WHATSAPP BUSINESS APP IS NEEDED TO HELP DETERMINE ELIGIBILITY.’</strong></h4>



<p>If you recently switched your number to WhatsApp Business, you may encounter issues connecting it to Privyr for Coexistence. This happens because Meta requires WhatsApp Business numbers to have sufficient activity and usage before they become eligible for automations.</p>



<p>Newly created or inactive WhatsApp Business numbers may not be available for connection until Meta detects enough usage on the account.</p>



<p>To fix this:</p>



<ul><li>Add a Business Name to your WhatsApp Business profile.</li><li>Upload a Profile Photo.</li><li>Actively use your WhatsApp Business number to send and receive messages with real contacts through the mobile app.</li></ul>



<h4><strong>ERROR: ‘THE PHONE NUMBER YOU HAVE ENTERED IS NOT ASSOCIATED WITH THE BUSINESS THAT YOU SELECTED. TO CONTINUE, YOU NEED TO UNLINK THIS PHONE NUMBER.’</strong></h4>



<p>It’s likely that the WhatsApp Business number is already connected to a different Business Portfolio, which isn’t the one that you selected when connecting your WhatsApp Business account.</p>



<p>To fix this:</p>



<ul><li>Ensure that you’re selecting the correct Business Portfolio when connecting your WhatsApp Business account to Privyr</li><li>Select <strong>Connect your existing WhatsApp Business app</strong></li></ul>

<p>If the issue persists, you may need to unlink or remove your WhatsApp Business number from the other Business Portfolio by clicking on this link on the error message shown on Meta:​</p>

<h4><strong>ERROR: ‘THE BUSINESS IS ALREADY SHARING THIS WHATSAPP BUSINESS ACCOUNT WITH A PARTNER.&#8217;</strong></h4>



<p>This issue happens when your WhatsApp Business number is already connected to another partner in your Business Portfolio. Meta only allows each WhatsApp Business number to be connected to one Meta Business Partner at a time.</p>



<p>To fix this, you need to disconnect your WhatsApp Business from the current Partner. Open your WhatsApp Business app on your phone and follow these steps:</p>



<ol><li>Tap &#8216;<strong>…</strong>&#8216; options</li><li>Go to <strong>Settings</strong></li><li>Select <strong>Account</strong></li><li>Select <strong>Business Platform</strong></li><li>Find and tap on the current partner</li><li>Tap <strong>Next </strong>to disconnect</li></ol>



<p>Once disconnected (which could take up to 5 minutes), return to the Privyr web and try connecting your WhatsApp Business account to Privyr again.</p>



<p>If the issue persists, you can also follow these steps:</p>



<ol><li>Go to <a href="https://business.facebook.com/latest/settings/whatsapp_account">Meta Business Suite’s WhatsApp accounts</a></li><li>Select your WhatsApp account</li><li>Click the (&#8230;) options</li><li>Click on <strong>Remove from business portfolio</strong>.</li></ol>



<p>Once disconnected, you should be able to connect your WhatsApp Business number to Privyr without issues.</p>



<h4><strong>ERROR: ‘THIS BUSINESS DOES NOT COMPLY WITH WHATSAPP&#8217;S COMMERCE POLICY.’</strong></h4>



<p>It’s likely that your WhatsApp Business account has been restricted by Meta or WhatsApp.</p>



<p>To keep the WhatsApp Business Platform safe, Meta may restrict WhatsApp Business accounts that repeatedly violate its policies.</p>



<p>You will receive a notification if your WhatsApp Business account has violated a policy. You can view the details of the policy violation directly in your account and file an appeal.</p>

<p>If the issue persists, check if you fulfil the following requirements:</p>



<ul><li>You are connecting a phone number that is logged in to the WhatsApp Business mobile app, and NOT the regular personal WhatsApp app or WhatsApp Business API</li><li>You are using WhatsApp Business app version 2.24.17 or higher</li><li>Your phone number is not banned or restricted on WhatsApp</li></ul>



<p> It may also be a browser-specific issue, and here are the steps to fix it:</p>



<ul><li>Clear your browser’s cache</li><li>Open your browser in Incognito or Private mode</li><li>Try using a different browser</li></ul>



<h4><strong>ERROR: ‘YOUR ADVERTISING IS CURRENTLY RESTRICTED.’</strong></h4>



<p>It looks like there are some advertising restrictions on your Meta Account, which is preventing you from using the account and/or Business Portfolio to connect your WhatsApp Business number to Privyr (for WhatsApp CoExistence).</p>



<p>To resolve this, you would need to sort out the advertising restriction placed by Meta by going to your <a href="https://www.facebook.com/business/help/975570072950669?id=434838534925385"><strong>Meta Business Support Home via this link</strong></a> and resolving any issues listed on the page related to advertising restrictions.</p>



<p>Once the restrictions are lifted, you should then be able to connect your WhatsApp Business number to Privyr using your Meta Account and Business Portfolio.</p>



<h4><strong>ERROR: ‘THE BUSINESS YOU SELECTED HAS ONE OR MORE AD ACCOUNT IN AN INVALID STATE.’</strong></h4>



<p>It looks like an Ad Account under your Business Portfolio is in an invalid state, and you&#8217;d need to have it sorted out first before you&#8217;re able to connect your WhatsApp Business number to Privyr and select the said Business Portfolio during the process.</p>



<p>Here are the steps to sort this out:</p>



<ul><li>First, go to <strong>Meta Business Support Home</strong> via this link: https://www.facebook.com/business-support-home</li><li>From<strong> Account Overview</strong>, click the restricted account that you want to troubleshoot.</li><li>Look for the What you can do section and take the recommended steps detailed below. Meta may ask you to do one or more of the following:<ul><li>Confirm your identity</li><li>Complete verification</li><li>Secure your account</li><li>Request a review</li></ul></li></ul>



<p>Once the restrictions are lifted, you should then be able to connect your WhatsApp Business number to Privyr.</p>



<p>If you&#8217;re facing issues with requesting a review to resolve the restriction, kindly reach out to Meta Support so they can help lift the restriction applied in your Ad Account(s).</p>



<h4><strong>ERROR: ‘YOU CANNOT PROCEED WITH THIS OPERATION, AS YOUR WHATSAPP BUSINESS ACCOUNT IS CURRENTLY RESTRICTED.’</strong></h4>



<p>It looks like your WhatsApp Business number is currently restricted, hence, you&#8217;re unable to complete the process of connecting your WhatsApp Business number to Privyr.</p>



<p>As per Meta&#8217;s advice, you can use a different WhatsApp Business number (if you have one available) or click on the &#8216;B<strong>usiness Support Home</strong>&#8216; link to check if there are any recommendations shared by Meta to help resolve the issues on your account:</p>

<h4><strong>ERROR: ‘THIS PHONE NUMBER IS ALREADY LINKED TO A FACEBOOK PAGE. TO CONTINUE, YOU NEED TO UNLINK YOUR ACCOUNT.’</strong></h4>



<p>It looks like your WhatsApp Business number has been linked to a Facebook Page in the past (perhaps added to a quick contact button or something similar), hence, it&#8217;s preventing you from connecting it to Privyr.</p>



<p>That said, kindly check if you&#8217;ve previously added your WhatsApp Business number as a quick contact button to a Facebook or Instagram page.</p>

<p>Once you identify that there&#8217;s a WhatsApp number added to any of your Facebook or Instagram page&#8217;s contact button, there should be an option for you to log in to your Business Manager and remove or unlink it.</p>



<p>After unlinking the WhatsApp number from the Facebook or Instagram page&#8217;s quick contact button, you can then try connecting it to Privyr to see if it works.</p>



<h2><strong>Limitations After Enabling Automations For WhatsApp Business</strong></h2>



<p>Once your account is connected for automations through WhatsApp Coexistence, certain features in your WhatsApp Business app will be disabled. These changes are part of <a href="https://faq.whatsapp.com/1655751878365653/?helpref=uf_share">WhatsApp’s built-in safeguards</a> to protect your account, while ensuring automated sending works reliably.</p>



<p>You will gain access to WhatsApp-approved automated sending tools, such as <a href="https://help.privyr.com/knowledge-base/whatsapp-campaigns/">WhatsApp Campaigns</a>. However, some features will no longer be available, including (but not limited to):</p>
