WhatsApp AI Task Creation

Introduction

WhatsApp AI Task Creation is a Privyr feature that uses AI to analyse your WhatsApp conversations and automatically create tasks on your Activity Timeline.

Once enabled, it keeps track of pending actions in your WhatsApp chats, adds tasks to your timeline, and sends you reminders.

You won’t need to manually scroll back through old chats or rely on memory to figure out what’s coming up or still outstanding. Everything you need to do shows up in one place on your Activity Timeline, alongside your other follow-ups.

You need a Privyr subscription, a Facebook account, and a phone number logged into the WhatsApp Business App to enable WhatsApp AI Task Creation.

Enabling WhatsApp AI Task Creation

To enable WhatsApp AI Task Creation:

  1. On Privyr web, go to your Automations tab > WhatsApp Automations > WhatsApp Tasks.
  2. Click on the WhatsApp number you want to enable AI Task Creation for.
  3. Select the type of tasks you want the AI to detect.
  4. Click DONE to save your settings.

Once activated, Privyr will start scanning new conversations on that number to automatically create tasks for you. Tasks are only created for leads in your Privyr account, so your personal WhatsApp chats with friends and family won’t trigger this AI automation.

Configuring your AI Task Creation settings

You can control how the AI creates tasks for each connected WhatsApp number by configuring the following settings.

Task Types

Privyr can detect the following types of tasks from your WhatsApp conversations with leads, and you can toggle each on or off individually:

  • Waiting for Lead’s Action: They’ve agreed to do something (like confirm a meeting or pay an invoice), but haven’t done it yet.
  • Waiting for Your Action: You’ve agreed to do something (like send a quote or share available timings), but haven’t done it yet.
  • Waiting for Your Response: A lead asked you something, but you haven’t responded.
  • Scheduled Meeting: A call or meeting has been proposed and agreed on by both sides.

Tasks will only be detected and created for WhatsApp conversations with clients that exist in your Privyr account. If a client already has a future-dated activity on their Privyr timeline, no additional tasks will be created for that client.

Task Detection Sensitivity

You can also control how clear a due date needs to be before the AI automatically creates a task for it. There are three settings to choose from:

  • Specific Date and Time: Only creates a task when an exact date and time is given (e.g. “tomorrow at 6pm”, “next Saturday 12:30pm”)
  • Specific Date, Rough Timing: Creates a task even without an exact time, as long as a day or timeframe is mentioned (e.g. “this Friday”, “next week”)
  • Vague or Open-Ended: Creates a task even from casual mentions of timing (e.g. “in a few weeks”, “when you’re free”)

Choosing a stricter setting (like Specific Date and Time) means fewer tasks are created, but they’ll be more precise. Choosing a looser setting (like Vague or Open-Ended) means AI catches more potential follow-ups, but some may need you to decide the exact timing yourself.
