Content sent through Privyr is auto-personalised for the client and can be quickly sent via WhatsApp, SMS, email, or other apps in seconds, without any typing or copy + pasting needed. These interactions are automatically saved into both the client timeline and content history for future reference.

Files and Pages have the additional feature of being trackable, so you’ll know exactly when your clients are interested and viewing them.

You can send content via the Quick Response feature when viewing a client’s details, or from the Message, File, or Page detail screens. You can also send auto-personalised content to up to 50 clients at once with our Bulk Sending feature.

To view and manage your content, click on the Content tab in the application footer.

Messages

Messages are introductions, follow-ups, updates, and other text-based content that you wish to send to leads and clients. Messages support plain text, links, and emojis, and are auto-personalised for the client when sending.

You can add unlimited messages to your account, for any and every occasion. To find out more about how to use messages, see Managing Your Messages.

Files

Files are PDF documents that you can upload to your Privyr account. These are auto-personalised for the client, automatically feature your branding and contact details, and even let you track when they are viewed.

You can add unlimited PDF files to your account, such as product or service brochures, catalogues, price lists, invitations, or other information you wish to share. To find out more about how to use files, see Managing & Tracking Your Files.

Pages

Pages are simple websites that contain text, images, videos, maps, and other types of content. These pages are auto-personalised for the client, feature your branding and contact details, and even let you track when they are viewed.

You can add unlimited pages to your account to help you organise and share information on your products, services, events, and anything else you may need. This can all be done directly within the Privyr app, without any additional platforms or hosting required.

Bulk Content Actions

From your content template list or content template search results screen, tap and hold on any content template to trigger multi-select mode and perform bulk actions. You can select up to 20 content templates at a time (you can also bulk-select up to 20 at a time via the Select First 20 button in the top right), with options to perform the following actions:

• Manage folders for all selected content templates
• Delete all selected content templates

Share Access to your Content Templates

You can allow other Privyr users to add a copy of your Message, File, and Page templates to their accounts and share it with their clients under their own name and branding.

Quick Responses allow you to send auto-personalised content to a lead or client within seconds. These can be sent via WhatsApp, SMS, email, or other chat apps, without any typing or copy + pasting needed.

When you combine Quick Responses with a library of introductions, follow-ups, and other content, you’ll be able to keep every lead warm and engaged to build strong, personal relationships with minimal effort.

All client notifications such as new lead alerts, follow up reminders, and view alerts open the client screen, so interacting with your clients is always only one tap away.

Want to automate the first message to a new lead? You can set up a WhatsApp Auto-Responder to instantly message new leads on WhatsApp.

Any new lead you receive via your integrations will be immediately and automatically messaged from your own WhatsApp number, even when you’re busy or offline.

Sending Quick Responses

SENDING QUICK RESPONSES VIA MOBILE APP

When viewing a client in the Privyr app, tap the QUICK RESPONSES button at the top of the screen and select the message, file, or page you wish to send.

The content will be auto-personalised for the client, and you’ll have a chance to review and make changes before sending. Once you’re ready, click on SEND VIA WHATSAPP (or SMS or EMAIL, depending on your settings).

If the person you wish to send to isn’t on your client list yet, you can add their contact and send them a personalised message in one step via Quick Add & Send Message.

SENDING QUICK RESPONSES VIA DESKTOP

When viewing a client on the desktop web version of Privyr, tap the QUICK RESPONSE button at the top right of the screen.

In the Quick Response modal, select the message, file, or page you wish to send, and whether you want to send it via WhatsApp, SMS, or Email.

If the Skip review screen checkbox is disabled, you will be brought to a review screen where you can edit the message and change the messaging platform before sending your Quick Response.

Otherwise, if the Skip review screen checkbox is enabled, your selected messaging platform will be opened immediately upon selecting your message, file, or page.

Note that Privyr will use the default WhatsApp / SMS / Email application of your device, so you may need to configure your device settings if your preferred application or account isn’t opening correctly.

Tips & Tricks

SELECTING & CREATING CONTENT

When choosing content to send to a client, you can tap to view the Messages, Files, or Pages tab. You can also tap the (+) button to create a message template, which can be reused to send to other clients in the future.

BEFORE SENDING CONTENT

Before sending, you can review the content with several options to edit the client, content, and channel to send through:

• Edit Client – update the client’s details such as display name, phone number, email, etc. View more information on editing clients.
• Quick Edit Message – edit the message for this client, but don’t save the changes for future use.
• Edit Message Template – update the message template and save the changes for future use. View more information on message templates.
• More Share Options – tap the share icon on the left to view more sending options such as WhatsApp, SMS, email, and other applications. You can also edit your default send channel in your account preferences.

AFTER SENDING CONTENT

After sending the content, you’ll see a summary of what you sent, the client’s follow up, and suggested actions.

• Click on DONE to proceed back to the client’s detail page. Alternately, click on the back icon to go back and re-send the content (e.g. via another channel).
• The client’s Follow Up reminder will be displayed. Tap it to update the date and/or time.
• If you want to send another item to the client, tap the SEND CLIENT SOMETHING ELSE button and select the next message, file, or page to send.
• Tap on More Options to view the message, file, or page details, or go back to the home screen.

Client Timeline

All messages, files, and pages that you send through Privyr will automatically appear on the client’s timeline, giving you a full history of your interactions. Tap on each timeline item to view more options.

These interactions are also saved under the sharing history when viewing the details of a Message, File, or Page.

WhatsApp Auto-Responder

Want to automate the first message to a new lead? You can set up a WhatsApp Auto-Responder to instantly message new leads on WhatsApp. Any new lead you receive via your integrations will be immediately and automatically messaged from your own WhatsApp number, even when you’re busy or offline.

All messages are sent from your existing WhatsApp Business number, so you can view and continue all conversations directly in the WhatsApp Business app on your phone or laptop.

Privyr’s Auto-Responder works through WhatsApp’s official APIs (Privyr is a verified Meta Business Partner), keeping your WhatsApp account and data safe while complying with WhatsApp’s Terms and Conditions.

You can create multi-step follow-up sequences to engage your leads with a pre-defined set of actions, over multiple days, weeks, or months. Sequences can include templated messages, trackable files, phone calls, time delays, and other types of follow ups.

Instead of trying to remember who to follow up with and what to do, you can create a sequence that prompts and guides you through each step. Privyr automatically tracks what to do next and when, so you can follow the perfect playbook without having to think, type, or remember anything.

For example, here’s a sample introduction sequence for new leads:

1. Send an introduction message to a new lead
2. Wait 3 hours
3. Call the lead and try to arrange a meeting
4. Wait 1 day
5. Send a trackable brochure

As each step is due, Privyr alerts and prompts you to perform the action in one tap. Then, it automatically moves the client to the next step of the sequence and starts counting down to the next follow up.

All actions that are due, upcoming, or overdue can be viewed on the Actions tab.

You can create multiple types of sequences to use in different situations, such as:

• A Default Intro Sequence to engage and follow up with new leads
• A Post-Meeting Sequence for leads who attended a meeting with you
• A Post-Purchase Sequence to check in with leads who converted
• A Quarterly Catch-Up Sequence to stay in touch with existing clients or leads who are not ready to buy at the moment

Sequence Tab

To view your Sequences, tap the Content icon in the footer and select the Sequenes tab at the top.

Your Sequences List shows all sequences you’ve created or have access to. It also displays the description, step summary, and the number of clients that are currently in it. Tap on a sequence to view more details and edit it.

Tap the ‘+’ button at the bottom to create a new Sequence.

Sequence Details

• Options: Tap on the Options button in the top right to edit the sequence title and description, create a copy, or delete it.
• Status: Tap on the status dropdown to toggle the sequence between Active and Paused. Pausing a sequence will pause all clients at their current steps, and all sequence prompts and alerts will be paused.
• Visibility Settings: View the sequence visibility setting and tap to change it. Sequences can be private to yourself, visible across the company, or visible to specific subteams.
• Client enrolments: View a list of clients that are currently in the sequence, have completed it, or were removed before completion.
• Sequence steps: This displays all steps in the sequence. Tap on the “⋮” icon to reorder, edit, or delete a step.
• Add step: Button to add a new step to the sequence. View more detailed instructions here.

Creating Sequences

CREATING A SEQUENCE

1. Go to the Content tab in your Privyr account
2. Navigate to your Sequences list
3. Click on the ‘+’ button to create a new sequence
4. Enter a descriptive Title for your sequence to make it easy to identify
5. Enter an optional Description to provide more context
6. Click on ‘Create Sequence’

Once your sequence has been created, you can select ‘Options’ to edit the title or description, make a copy of the sequence, or delete it.

ADDING STEPS TO A SEQUENCE

In your sequence screen, click on ‘+ Add Step’ and choose whether you want to contact your client, send them a content template, or set a delay:

1. Send Content: Use this step to send message, file, and page templates via your Default Sending Channel. You can create new templates or copy your existing ones.
   • Create new message: Create a message template, which will be added as a step in your sequence.
   • Create new file: Upload a new file, which will be added as a step in your sequence.
   • Create new page: Create a new page, which will be added as a step in your sequence.
   • Select existing content: Copy one of your existing messages, files, or page templates to be added as a step in your sequence.
2. Contact Client: Use this step when you want to reach out to a client directly with a call or message.
   • Phone Call: Adds a step for you to call your client.
   • WhatsApp: Adds a step for you to message your client on WhatsApp.
   • Telegram: Adds a step for you to message your client on Telegram.
   • SMS: Adds a step for you to message your client via your default SMS app.
   • Email: Adds a step for you to email your client via your default email app.
3. Time Delay: Specify the number of hours or days to wait before the next step starts, and receive an alert when the time comes. This is useful for spacing out communications or giving clients time to respond.

Once the steps have been created, you can tap on the “⋮” icon at each step to reorder the steps, edit them, or delete them.

When your sequence is ready, you can add clients to it and perform each sequence step via Privyr’s mobile app.

Using Sequences with a Client

ADDING CLIENTS TO A SEQUENCE

In the overview tab of your client details screen, you will see your client’s Sequences Overview. Tap on it to add your client to a sequence. You can also add them by tapping on Options > Add to Sequence.

You can add clients to a sequence in bulk from your client list or client search results screen. Tap and hold on any client to trigger multi-select mode and perform bulk actions. You can select up to 50 clients at a time, then tap on the sequences icon to add them to the selected sequence.

Once your clients have been added to a sequence, you can perform the sequence steps on them.

MANAGING CLIENTS IN A SEQUENCE

If your client is part of any active sequences, your Sequence overview will display the total number of active sequences, and highlight the step that needs your attention first, whether it is overdue, due today, or due in the future.

Tap on the sequence overview to view the full list of sequences that your client is part of, or add them to new ones. When viewing the list of active sequences, you can tap on any sequence to perform the pending step, or to skip it.

PERFORMING SEQUENCE STEPS ON A CLIENT

If you have any steps that are due, you will be prompted to perform them with an Action Card.

For all steps, you will see the following information:

• Sequence Info: Your sequence name and step number
• Step Title: This describes the action for the sequence step
• Due Date: The date that the current step is due
• Step Details:
  • Share Content Message Preview: If you are sharing a message, file, or page template with your client, this displays the message that will be sent.
  • Contact Client Instructions: If you are contacting your client via phone call, SMS, WhatsApp, Telegram, or email, any instructions will be displayed here.
• Action Button:
  • Share Content: You’ll be prompted to send the message, file, or page to your client via your Default Sending Channel
  • Contact Client: You’ll be prompted to call your client’s phone number, or to open your client in the selected app (WhatsApp, SMS, Telegram, Email).
• Options:
  • View full sequence: This takes you to the sequence details.
  • Skip this step: This skips to the next step in the sequence. If you skip the last step, the sequence will be considered completed.
  • Remove from sequence: This removes the client from the sequence. You can add the client back at any time, and they will start from step 1 again.
  • (If applicable) For Share Content steps, you will also see options to edit and view your template details.

Default Intro Sequence

If you enable a Default Intro Sequence, it will be automatically suggested whenever you view an uncontacted lead in the Privyr app. Clicking on the action button will automatically add the lead to the sequence and perform the first step.

Your Messages List

Your Message List shows all messages you’ve added to Privyr, sorted by title. It also displays a preview of the message text and the number of times you’ve sent the message. Tap on a message to view more details and send, copy, edit, or delete it.

Use the search box at the top of the screen to find messages, or tap the (+) button at the bottom to create a new message.

Quick Tip: you can set your Messages List to open as the default Content tab under your Account Personalisation settings.

Message Details

Tap on a message from your message list to view all details and actions related to the message.

The Message Preview shows the text that will be sent to the client. Note that the @clientName token will be automatically replaced with the client’s display name when sending.

The Sending History shows the number of clients you’ve sent this message to. Tap to view a list of these clients with more details and options.

The SEND TO CLIENT button at the bottom allows you to quickly send an auto-personalised version of the message to one or more clients. Just tap this button and select the client you wish to send to, or Bulk Send to up to 50 clients at once.

Tap on the Options button in the top right to create a copy of the message, edit the message, or delete it.

Creating Messages

Tap the (+) button on your message list to create a new message template, or copy an existing message via the create a copy option under message details. A message template has only two parts:

• Title is only visible to you within the Privyr app, and is used to help you organise and find your messages. Your clients won’t see this.
• Template Message is the message text that will be sent out to the client, and can contain text, links, and even emoji characters.
  • @variables allow you to automatically insert client details and sender details in your messages
    • Client @variables: @clientName, @clientEmail, @clientPhone, and more.
      These tokens automatically personalise your message with your client’s display name and other information, making the message more warm and personal.
    • Sender @variables: @senderName, @senderCompany, @senderPhone, @senderEmail, and more.
      These tokens automatically insert the current sender’s information, keeping messages up-to-date and accurate across team members and organisations.

Simply type the relevant @variable in your message, and it will be replaced with the corresponding value when sent!

Once you’re done, tap the CREATE MESSAGE button to save the message to your content list. You can always edit or delete it at any time.

Here are some tips for creating message templates:

• Start your message title with a category – such as Introduction or Follow Up – to make searching your messages easier.
• You can add numbers at the front of your message title to control their order on the message list, since they’re sorted by title (e.g. “1. Introduction – New Lead”, “2. Follow Up – Ask for Coffee”, etc)
• If you use chat apps like WhatsApp that support text formatting, you can include the formatting directly in the message template to style it (e.g. using asterisks to *bold text*). View more details at the WhatsApp FAQ – Formatting your messages.

Copying, Editing, and Deleting Messages

When viewing a message template, you can tap on the Options menu in the top right of the screen to perform a few actions:

• Create a copy to create a new message with the same title and message text. This can be useful if you wish to do a few versions of the same message with only minor changes.
• Add private notes if you wish to include any private details about your message template.
• Add to folders to organise and manage your messages, such as by creator, product or service, or any other categorisation you like.
• Edit message template if you wish to edit the template’s title or message text. These changes will not affect any messages you’ve previously sent.
• Delete message template to permanently remove the message from your messages list, along with any associated data in Privyr. This will not affect any messages that you’ve sent through other applications such as WhatsApp, SMS, email, etc.

Message Folders

Create and use custom folders to help manage and organise your message templates, such as by creator (if you are using Privyr with a Team), product or service, or any other categorisation you like. You can add unlimited messages per folder and multiple folders per message.

To create a new folder, tap Folders followed by the (+) button on your Messages tab.

To add a message to a folder, tap Options when viewing a message template and then tap Add to Folders. You can add the message to an existing folder, or create a new one by tapping Create New.

Bulk Message Actions

From your Message template list or Message template search results screen, tap and hold on any Message template to trigger multi-select mode and perform bulk actions. You can select up to 20 Message templates at a time (you can also bulk-select up to 20 at a time via the Select First 20 button in the top right), with options to perform the following actions:

• Manage folders for all selected Message templates
• Delete all selected Message templates

Share Access to your Message Templates

Your Files List

File Details

Open a file from your file list to view all details and actions related to the file.

The SHARE WITH CLIENT button at the bottom allows you to quickly send an auto-personalised version of the file to one or more clients. Just tap this button and select the client you wish to share with, or Bulk Send to up to 50 clients at once.

Tap on the Options button in the top right to edit the file, edit the default message, or delete it.

File Branding

All files sent through Privyr will automatically feature your contact details and branding at the bottom of the page, alongside clickable buttons to call, SMS, or WhatsApp you.

This helps to build a stronger brand presence and relationship with your clients, and makes it easy for new leads quickly get in touch with you if your files are being forwarded to others.

You can also apply custom branding to your account, featuring your own logo and colours on all files and pages you send (see examples in the image above). The link URL can also be customised with your own branding. These customisations can be configured under your Account Settings > File & Page Branding.

Tracking File Views

All files sent through Privyr are trackable, and will give you real-time alerts whenever your leads or clients view them. Tap the alert to view the client’s timeline with more details such as how many times they’ve opened the file and the total time they’ve spent viewing it.

Note that you can adjust your Notification Settings to customise what type of alerts you get when leads view your files.

You can also see the full sharing history of a file on the file details page, which shows all clients that the file has been shared with, who has and hasn’t opened it, who viewed in the last 3 days, and who has viewed it multiple times.

If you want to see all clients who viewed any of your files in the last 7 days, you can open the Recently Active group under the Groups tab of your Client List.

Detailed File View Stats

You can see detailed view stats showing a breakdown of all views by a specific client on a file, including the date and time of each view, the time spent viewing, and even what type of device it was viewed on.

Simply tap the file on the client’s timeline (or tap the client from your file’s sharing history), then select ‘Show detailed view stats’.

Uploading Files

Tap the Upload button on your file list to select and upload a PDF file from your phone (up to 100 MB or 200 pages).

The File Title will default to the name of the file, but can be edited to something else if you prefer. This title will be displayed to clients at the top of the page when viewing a file, so try to make it descriptive and presentable.

Once you’re done, tap the SAVE FILE button to save the file. It may take a few seconds to process the file and convert it to be auto-personalised, branded, and trackable. Once completed, the file will appear in your file list and can be viewed, sent, edited, or deleted at any time.

Pro-tip: You can also forward Files directly into Privyr from any other app like WhatsApp, Dropbox, Gmail, and more. Simply open the file in the app, tap Share, and click on the Privyr icon. Your file will be automatically uploaded to Privyr.

Editing and Deleting Files

When viewing a file, you can tap on the Options menu in the top right of the screen to perform a few actions:

• Edit default message to update the default text message that is included every time you send the file to a client. This can be used to provide more information or context before the client opens the file.
  • You can use @variables to automatically insert client details and sender details in your default message
    • Client @variables: @clientName, @clientEmail, @clientPhone, and more.
      These tokens automatically personalise your message with your client’s display name and other information, making the message more warm and personal.
    • Sender @variables: @senderName, @senderCompany, @senderPhone, @senderEmail, and more.
      These tokens automatically insert the current sender’s information, keeping messages up-to-date and accurate across team members and organisations.
• Edit file details to edit the file title or upload a different PDF file to replace the existing one. Note that changing the title or file will automatically update all previously sent links to show the new content, ensuring everyone sees the latest version.
• Add private notes if you wish to include any private details about your file.
• Add to folders to organise and manage your files, such as by creator, product or service, or any other categorisation you like.
• Delete file to permanently remove the file from your files list, along with any associated data in Privyr. All previously shared file links will also be made invalid, so be careful about deleting files that your clients may try to view again in the future.

File Folders

You can also see the full sharing history of a page on the page details screen, which shows all clients that the page has been shared with, who has and hasn’t opened it, who viewed in the last 3 days, and who has viewed it multiple times.

If you want to see all clients who viewed any of your pages in the last 7 days, you can open the Recently Active group under the Groups tab of your Client List.

Detailed Page View Stats

You can see detailed view stats showing a breakdown of all views by a specific client on a page, including the date and time of each view, the time spent viewing, and even what type of device it was viewed on.

Simply tap the page on the client’s timeline (or tap the client from your page’s sharing history), then select ‘Show detailed view stats’.

Creating Pages

Tap the (+) button on your page list and select a design template to start creating a new page.

Every page will have a title, description, and images, and may optionally include other details such as website link, file attachment, YouTube video or Google Map location.

Once you’re done, tap the CREATE & PREVIEW button to save the page and see how it looks. Once completed, the page will appear in your page list and can be viewed, sent, edited, or deleted at any time.

Editing and Deleting Pages

When viewing a page, you can tap on the Options menu in the top right of the screen to perform a few actions:

• Edit default message to update the default text message that is included every time you send the page to a client. This can be used to provide more information or context before the client opens the page.
  • You can use @variables to automatically insert client details and sender details in your default message
    • Client @variables: @clientName, @clientEmail, @clientPhone, and more.
      These tokens automatically personalise your message with your client’s display name and other information, making the message more warm and personal.
    • Sender @variables: @senderName, @senderCompany, @senderPhone, @senderEmail, and more.
      These tokens automatically insert the current sender’s information, keeping messages up-to-date and accurate across team members and organisations.
• Edit page to change the page content such as title, description, images, and other details. Note that changing the page will automatically update all previously sent links to show the new content, ensuring everyone sees the latest version.
• Add private notes if you wish to include any private details about your page.
• Add to folders to organise and manage your pages, such as by creator, product or service, or any other categorisation you like.
• Delete page to permanently remove it from your page list, along with any associated data in Privyr. All previously shared page links will also be made invalid, so be careful about deleting pages that your clients may try to view again in the future.

Page Folders

Create and use custom folders to help manage and organise your page templates, such as by creator (if you are using Privyr with a Team), product or service, or any other categorisation you like. You can add unlimited pages per folder and multiple folders per page.

To create a new folder, tap Folders followed by the (+) button on your Pages tab.

To add a page to a folder, tap Options when viewing a page and then tap Add to Folders. You can add the page to an existing folder, or create a new one by tapping Create New.

Bulk Page Actions

From your Page template list or Page template search results screen, tap and hold on any Page template to trigger multi-select mode and perform bulk actions. You can select up to 20 Page templates at a time (you can also bulk-select up to 20 at a time via the Select First 20 button in the top right), with options to perform the following actions:

• Manage folders for all selected Page templates
• Delete all selected Page templates

Share Access to your Page Templates

You can allow other Privyr users to add copies of your Page templates to their accounts and share them with their clients under their own name and branding.

Your Default Intro Sequence lets you quickly and consistently engage new leads by following a pre-selected Sequence, without having to manually add them to the sequence. Whenever you view an Uncontacted lead, Privyr will suggest your Default Intro Sequence and prompt you to complete a series of repeatable steps.

Managing Default Intro Sequence Settings

To manage your Default Intro Sequence settings, follow these steps:

1. Tap on the Account button in the footer
2. Go to Settings
3. Go to Uncontacted Leads and scroll down to the Default Intro Sequence section
4. Enable or disable the setting via the toggle
5. If Default Intro Sequence is enabled, you can tap on the gear symbol to select a Sequence to use as your Default Intro Sequence
6. Tap on ‘SAVE’ to save your settings

Starting a Default Intro Sequence

If Default Intro Sequence is enabled, whenever you view an Uncontacted Lead, you will see an Action Card that suggests the first step of your selected sequence.

• Suggested Sequence Banner: This tells you that your Default Intro Sequence is being suggested to you, and that the client isn’t part of the sequence yet. Tapping on the Action Button will perform the action and automatically add your client to the sequence.
• Sequence Info: This is the sequence name and step number that is being suggested to you.
• Step Title: This describes the action for the sequence step
• Step Details:
  • Share Content Message Preview: If you are sharing a message, file, or page template with your client, this displays the message that will be sent.
  • Contact Client Instructions: If you are contacting your client via phone call, SMS, WhatsApp, Telegram, or email, any instructions will be displayed here.
• Action Button:
  When you trigger the action button, your client will automatically be enrolled in the sequence. The action button will be displayed accordingly:
  • Share Content: You’ll be prompted to send the message, file, or page to your client via your Default Sending Channel.
  • Contact Client: You’ll be prompted to call your client’s phone number, or to open your client in the selected app (WhatsApp, SMS, Telegram, Email).

Editing the Sequence Step

Tap on the “⋮” icon in the upper right of the action card to view the following options:

• View full sequence: View the Sequence Details of your Default Intro Sequence
• Default sequence settings: Manage your Default Intro Sequence settings
• (If applicable) Options for content steps:
  • Edit message template/Edit default share message: Make changes to your message and save them for future use.
  • View message, file, or page template: View the message, file, or page details screen

If you are sending a template, you can quickly edit the message without changing your saved template. Tap the Message Preview to make any changes directly.

You can send auto-personalised content to up to 50 clients at a time via the Bulk Send feature. This is a quick and efficient way of engaging with many clients at once, such as if you need to contact several new leads with an introduction or update existing clients on a new product, service, event, or offer.

You can repeat this process as many times as you like to send content to all of your clients, or just the clients within a specific Client Group.

Selecting Multiple Clients

You can select multiple clients and initiate bulk content sending from your Content Details or Client List screens.

When viewing a Message, File, or Page, tap on the SHARE WITH CLIENT button at the bottom to show the Select Clients screen. You can enable multi-select mode by tapping on Options and then Bulk Send at the top right of the screen, or by pressing and holding on any client on the list.

Simply tap on Select First 50 at the top right, or select as many clients as you wish from the list (up to 50 at a time), then tap the SEND TO X CLIENTS button at the bottom to proceed with bulk sending. You can also tap-and-hold on Select First 50 for more options, such as selecting the first 10 clients, 25 clients, 50 clients, or unselecting all.

Note that the Bulk Send option is only available if you have 3 or more clients in your account, and will not allow you to add or select contacts from your phonebook during the process. Make sure to add all recipients to Privyr before bulk sending to them.

You can also select multiple clients from your Client List or client search results screen by pressing and holding on a client to trigger multi-select mode and show Bulk Client Actions.

Selecting Clients in a Group for Bulk Sending

If you’re using Client Groups to organise your clients, you can filter by Group to quickly send content to all clients in a specific group.

When viewing a Message, File, or Page, tap on the SHARE WITH CLIENT button at the bottom to show the Select Clients screen. Tap on Options at the top right of the screen and select Filter by group to view and select from your groups list.

Clients in the group that you’ve already sent the content to will be automatically hidden, so you can focus on sending it to the remaining clients in the group.

Simply tap on Select First 50 at the top right, or select as many clients as you wish from the list, up to 50 at a time, then tap the SEND TO X CLIENTS button at the bottom to proceed with bulk sending.

Bulk Sending Content

Reviewing and editing content while bulk sending works exactly the same as when Sending Quick Responses or sending content to a single client. However, the bottom half of the screen will now show all clients that you selected, with various options to send or update the client:

• The Bulk Send Channel shows whether you’ll be sending via WhatsApp, SMS, or email when you tap the SEND button for each client. Tap on Change to switch to another sending channel. Note that you can update your default sending channel via your Account Preferences.
• Before sending, the client’s name and contact detail for the selected channel will be displayed.
  • Tap the client to edit their name or contact details, if needed.
  • Tap the SEND button to send via the bulk send channel, or press-and-hold the SEND button to view more sending options.
• After sending, the client’s follow up will be displayed beneath their name.
  • Tap the client to update their follow up date and/or time or edit their contact details.
  • You can also tap the SENT button to view more sending options and send again.
• Tap on Usage Tips at the bottom of the screen to view instructions on the various functions.

Once you’re done, you can tap the DONE button in the top-right of the screen to finish and go back to the message, file, or page details.

If you are sending content to members of a group, you will be prompted to Send to more clients to select and send to the remaining group members. If you’ve completed sending to all members of the group, you’ll see a confirmation screen that the content has been sent to the entire group.

Allow other Privyr users to add a copy of your Message, File, and Page templates to their accounts and share it with their clients under their own name and branding.

You can easily share access to your content via a unique web link or by scanning a QR code. Privyr users who open the link or scan the code will be able to save an editable copy of your content to their account.

Share Access to your Content Templates

The steps below will guide you through the process of sharing access to a Message template. The same steps apply when sharing File and Page templates too.

1. Go to Content in your navigation bar, then Messages
2. Select the message template that you want other Privyr users to make copies of
3. Under Options, select Share access to message template
4. Allow Copying will be disabled by default. Tap the toggle to enable it.
5. Upon enabling copying, your template sharing page will be generated. You can direct fellow Privyr users to your page via these methods:
   1. Tap on the blue link to copy it to your clipboard and share it with Privyr users. Users who access the link will be led to your template sharing page.
   2. The QR Code button generates a QR code that leads to the message template sharing page. You can physically show it to fellow Privyr users to scan from their phones, or save the image to share or print on slides, flyers, or other materials.
   3. Click on Share Access to share the link via an app of your choice, such as WhatsApp, SMS, email, and other applications.

Once your content has been copied by other users, the counter will indicate the total number of copies that have been made.

Adding a Content Template to your Account

Upon accessing the template sharing page via the link or QR code, users can add the template to their Privyr accounts by clicking USE THIS TEMPLATE >. The template will be added directly to the user’s Privyr account for them to edit and share with their clients.

If the template sharing page is accessed by someone without a Privyr account, they will be prompted to create a free account.
